MessageExport add-in for Outlook

Easily Extract and Process Your Outlook Messages!

The entire history of your business is chronicled by the email messages that are contained in Microsoft Outlook. Important threads that detail the birth, evolution, and resolution of projects, ideas, and relationships complete with contact information have all been encapsulated in your inbox.

With so much riding on these messages, it's important not only to maintain backups of Outlook at all times but also to consider saving those email messages to different formats in order to facilitate preservation.

MessageExport is a powerful plugin for Microsoft Outlook 2003/2007. It not only allows you to export your Outlook messages in one of nine different file formats, it also lets you create advanced profiles that enable you to compress exported emails to a password-protected archive which is then automatically placed in a directory location of your choice.

In other words, MessageExport not only slices, it dices too!

First things first, the formats.

Using MessageExport, you can extract Outlook messages as PDF, MSG, EML, HTML, MHT, TXT, GIF, JPG, and TIFF formatted files. Think about it - this means that you can create a database of emails stored as images, or make them universally accessible by Adobe Reader, or post them to the internet on your website as HTML. You can even create files that are compatible with other Microsoft applications using the Microsoft Messaging API and save directly to Microsoft Sharepoint servers!

When it comes to efficient workflows, MessageExport covers all of the bases. You will always have the ability to have your extracts compressed and encrypted to a password-protected ZIP archive. You can also perform more advanced macro functions such as extracting file attachments, removing the source messages, and invoking shell commands after the export. All of these steps are saved as a unique profile, and you can create as many profiles as you need.

Stephen Kreyling Has it been upgraded to work with Office 2010 64 bit versions of Outlook. I bought this before but could not use it due to the 64 bit version of Outlook.
Dec 4 2011 at 2:40am
Darren Leno Hello Stephen,
Yes, version 2.0 is now fully compatible with Outlook 2010 64-bit.
An update will be sent soon to all current customers.

Other new features in this release includes the ability to export multiple emails to a single PDF, PDF-A compatibility, ability to run an export operation on a timed basis, and more.

Albert C. I don't trust this company anymore. I contacted them TWICE to get an upgrade price for my old PST Viewer and they NEVER replied back. Not to mention their restrictive activation systems. Never gonna buy anymore, don't like to throw my money to the rubbish bin.

Lupke Brother @ Albert C.

You are right Albert. I have mixed feelings about this company too. Bought their BDJ offer PDF postman product in may this year. I had a lot of problems with this tool. But I must say, their support team responded very quick to me. Unfortunately they still did not solve the problem. So, sometimes just one of 3 functions work for me and sometimes 2 functions work for me. God only knows why :-) I had problems with the update system. I allso had to call them to reset my license, because after updating the product stopped working. The last update went OK, but still it is not working full. A funny thing is, last august I received two license codes for pdf postman, because their system said I had bought two extra licenses. No I did not, so now I have three licenses, 1 bought, two for free. But, yeah, the product off course does not work ;-) Some other problems I had some MAJOR crashes of outlook 2010 caused by pdf postman. No problems when the plugin is disabled. I know of people who had their outlook slowd down by it very much.

So I can disagree with you about their response and support. To me it is good, but I have just given it up on them. I think they are serious but have problems they can't solve. At this point I give them the benefit of the doubt. At other points not. They have interesting products, and I would like to buy them. Maybe in the future! Don't be too harsh on them, but test properly before buying on of their products. I might work.... or not ;-)

I know this is a bit off topic. Just posting my concerns. You can move it to the forum board if you like.

Darren Leno Hi Albert, I'm sorry you had a bad experience. We are not in the habit of ignoring our customers. Email me directly at darren@ or call me at 651-815-4902 x703 and I will make sure you are taken care of.

Lupke, thanks for your comment. You're right that we misfired on deploying our new activation system for PDF Postman version 1.0. Its since been resolved and free updates were sent to all customers. It was a PITA though, I agree with you. We now have thousands of customers for that product, some running hundreds of users.

Look, we've been around since 2005, and am a real person with a real reputation. Google me. We try very hard to please its customers, much hard than most, and have helped tens of thousands of people. We don't hide from you. Its easy to take shots at anonymously on the internet, but if its satisfaction you truly want, then reach out. If my support team doesn't satisfy you, then contact me directly. You now have my direct email and my direct phone.

Roger Thomasson Folks, we've been working with Darren and Encryptomatic on a fairly regular basis for the past 3 years and have never received a single complaint regarding support or customer service.

Mistakes happen, things get lost in transit, spam filters act up... doesn't change the fact that if we had a VIP list, Darren would be at the top :-)

Lupke Brother well, because everybody is so convincing and positive I'll give it a try.
I still have a non functional pdf postman since may 2011 so I will mail the support team TODAY. I will add my remarks about solving my problem on the pdfpostman BDJ product page and not here. I hope the benefit of MY doubt will lead to a working product.
Dec 5 2011 at 10:13am
Gerard Booth @Albert C
Thats a rather harsh statement to make, simply because you had a problem contacting support. As for software activation, I hate it, but fully understand developers have to protect their products. If everyone was honest, there would be no need for activation.

I for one will be buying a licence for MessageExport when the offer is available. I have installed the trial and it is excellent software, exactly what I was looking for and works flawlessly.

I also bought Pdf Postman when it was on offer, again works flawlessly and no problems with activation or with the developer.
Dec 6 2011 at 1:41am
Darren Leno We always provide a full 30 day money back guarantee. For BDJ customers, I will extend that policy to 1 full year. If you are even a tiny bit unhappy with MessageExport in 2012, contact support for a full refund of the software.

@Lupke, if there are any problems, you can easily send a trace log to the support team. Just go to "HelpSend Log to Support" and someone will analyze it and get back to you in a few days. This will help us understand what is going on in your environment. If it's our fault (and sometimes it is), we will fix it.

@Gerard, thanks for your comments. We did have a problem with PDF Postman activation when that was first released. It was a nightmare and a learning experience for us. That criticism is valid, and we repent. We spent thousands $$ on a new IP protection scheme that we thought would be easier for customers, but we didn't get it right the first time. That learning was rolled into this release of MessageExport, and I am assured it will not happen again. I know it ticked people off. It ticked me off, too. No one could have been more angry about it than I was. Customers have my phone number, so I got an earful.

Thanks for the honest discussion. I appreciate the constructive criticism I get on BDJ and I share it internally. Every month I deal with giant IT departments at huge companies that are installing MessageExport on hundreds or thousands of computers, yet I never sweat as much as when we come to BDJ with a 70% discount.

Michael K An interesting conversation and Darren's handling of the glitches that have occurred is good enough for me to be assured of future support.

I am interested to know how attachments are handled but after viewing the youtube demo video on the website, I am none the wiser as it's referred to but not covered at all.

Darren could you please explain how attachments of any kind are handled by MessageExport.

Maybe a quick youtube recording so we might see attachment handling in action would be helpful, with the link in put in this conversation.

Thanks

Michael

Pavi J Hi, I am very interested in this.

Is it possible to run the add-in on a schedule, say weekly, to backup all email to MSG files in a folder?

And in that case, is it possible to not have duplication of existing messages (ie. takes only new messages since last backup)?

My tool now requires manual backup, and makes dups so I would really like to skip the extra steps.

Best, /Pavi
Dec 7 2011 at 2:22am
Pavi J Okay, I feel a bit silly since the video shows that there is a checkbox to avoid duplicates.

I assume also that since profiles can be run on a schedule, automation is possible

Michael K I have a laptop and desktop PC which both have Outlook on them - would I be able to install MessageExport on both of them without having to buy a second license?

Thanks

Michael
Dec 7 2011 at 2:41am
Rich Ackerson @Michael K: I was wondering the same thing but then I noticed their license policy states "MessageExport add-in for Outlook may not be used at the same time on multiple computers." so I assume the answer is no.
I believe we would need multiple licenses to use on multiple computers.
Dec 7 2011 at 5:14am
Darren Leno Good day!

@Pavi
Using MessageExport for email backup:
OptionsSelect Profile (choose the profile you want to run) EditSchedule (enable and set the time here)
Then go to the Common tab and “turn on export history.” This will prevent exporting an email multiple times.

@Michael
Attachments are handled in a variety of ways. You can embed the attachments as files within the pdf that can be extracted later; you can extract them to a folder; or you can convert many common file attachment types into the PDF image such as Word, Powerpoint, Excel, (requires Office 2007 sp2 or later), jpg, gif, tif, text, etc). If its unable to convert the attachment then it will embed it as a file within the pdf.

Licensing is currently one computer at the moment. However, its easy to move your license. Just uninstall MessageExport and then you can reinstall it anywhere else. The key is reset when you uninstall and it can then be reused.
Encryptomatic LLC Vendor - Dec 7 2011 at 5:28am
Darren Leno Sorry, this comment I made was not very clear... "You can embed the attachments as files within the pdf that can be extracted later;"

What I meant was that file attachments may be included within the PDF as a separate file. You can extract these files from the pdf later. For example, if it is a .csv file, using your pdf viewer you can extract the csv file from the pdf to a folder for editing. This helps preserve the context for the email message and attachments, keeping it all together.
Encryptomatic LLC Vendor - Dec 7 2011 at 5:35am
Michael K @ Darren

I notice from the conversation last time this was offered on Bits that you said you would be incorporating support for A$ European paper size Slater in 2011. As we are now fast approaching the end of the year, could you please let us know if support for this important paper size is now built in and if not, when it will be please.

@Rich & @ Darren With all due respect, I know folks are trying to be helpful when answering questions that have been addressed to the developer but in most cases those answers amount to speculation and interpretation and have little or no value.

Except in exceptional circumstances, I think it is generally best to let the developer answer questions that have been addressed to them. In this case I am aware of the policy of not allowing use "at the same" time" and that is not what I was asking.

Commonly, developers allow installation on both a laptop and a desktop with each being use intermittently. I had hoped that is allowed by this developer and I now see Darren has answered the point

Thanks

Michael
Dec 7 2011 at 5:36am
Darren Leno Hi @Michael,
Since version 1.5 released in 2011, MessageExport has supported A$, B$ and many other paper sizes. You can even roll your own custom page size if you wish. A4 is the default size, but it can be changed. Later we will be setting the default based on the user’s local settings, but we just ran out to put that into this release, sorry.

To change paper size, go to MessageExportSettings, select a profile and click Edit Next to ‘Export Format’ click the gear button, and now you can change the format.

Here's a picture for you...

Darren Leno Whoops. Some of you got version 1.5 keys. We are resending you a new key for MessageExport 2.0 by email within the hour. The key list on RegNow had not been refreshed.
Encryptomatic LLC Vendor - Dec 7 2011 at 6:45am
Michael K @ Darren

I had to smile when you said you deal with some big players but are never more nervous than when dealing with a Bits promotion.

That's so funny.... we are a tough crowd at Bits ay! ;-)

Anyway, not so tough - you've been great answering all the questions in the conversation and living up to your prior assurances of the new features you have introduced and I will be a buyer. ;-)

Thanks

Michael
Dec 7 2011 at 8:46am
Darren Leno @Michael thanks, appreciate it. :-)

@Dick, you have 3 basic options for processing attachments with PDF:
1 extract to a folder; 2 embed as file within the PDF; 3 attempt to convert the attachment to the PDF image with a fall back to embed if conversion is not possible.
Encryptomatic LLC Vendor - Dec 7 2011 at 9:20am
Dick Stone When you exoport a message, what happens to the attachment?
Dec 7 2011 at 9:31am
Ron. How does this compare to PST Viewer Pro? Will they essentially do the same thing? The plugin just providing a more seamless and optionally automated approach?
Dec 7 2011 at 9:44am
Rich Ackerson @Darren I really like what I see here and am likely going to purchase but I have a question first.

I asked earlier but I think the question may have been missed. Your website indicates a 25% discount with the purchase of MsgViewer Pro and MessageExport. If I purchase MessageExport here, is there a way to qualify for the 25% discount on MsgViewer Pro?
Dec 7 2011 at 9:52am
Darren Leno Hi Ron
There is a lot of crossover between these two products. Besides the obvious difference that one is an add-in for Outlook and the other is a desktop application, MessageExport as an integration to Symantec Enterprise Vault and Sharepoint. While Pstviewer Pro does a lot of similar things outside of Outlook, MessageExport is part of the Outlook experience.

We try to simplify the work of people to need to file/convert/copy email messages according to a process. One customer told me she's been able to replace two to three manual steps in her role of preparing email evidence, which makes her job easier.

I should mention that any of what we call the "export profiles (which are just those formats that you select from the drop down list) can be completely customized. For example, if you need to copy a message, convert it to GIF, give it a specific name, then put it into an encrypted zip file then move it to a specific place, you can configure all that inside one MessageExport profile. There are some very specific uses for MessageExport but people are surprising us all the time by doing things with it that we didn't think of originally.
Encryptomatic LLC Vendor - Dec 7 2011 at 10:02am
Darren Leno Thanks everyone for the good discussion. Stop by and visit us at http://www.encryptomatic....sageexport

I appreciate your business.

Any questions, feel free to call or email me: sales at encryptomatic dot com.

Thanks BDJ for another successful promotion.
Encryptomatic LLC Vendor - Dec 7 2011 at 6:32pm
E. Douglas Jensen I was waiting for the 70% sale to start at midnight. But the next morning it was only 50%. And when I followed the BDJ link to buy it, I was charged full list price! What a rip-off!

Please remove me from your mailing list.
Dec 8 2011 at 9:27am
Darren Leno Hello Douglas. Thanks for reaching out. I'm not sure why it was 50% off after the sale ended; I was expecting zero percent off. BDJ must stairstep down the discount after the sale ends I'll contact you by email in a few minutes and we'll work something out.
Encryptomatic LLC Vendor - Dec 8 2011 at 10:28am
Roger Thomasson @ E. Douglas

The 70% promotion ended at 11:59pm PST on December 7th. It was not available today. Other customers purchased the product without any difficulty yesterday.

The 50% discount, however, was indeed a system error. Sorry for the confusion!
