David Gilmour That is one glossy website that you have there, but amongst all the buzz words touting how well designed and easy to use this product is, I could not find a shred of substantial help on the subject of how to use it. When I tried using the help function in the product itself, I was directed back to the website, which was funny in an ironic sort of way, but less than helpful to me. Maybe I'm missing something? I could hack around with the product, and try to make do with the screen shots that you've posted here on BDJ, which are more substantial than anything that I could find on your website or blog, but a basic "how to" guide would be nice. Even an illustrated feature list would be a good start.

Jerry S I'm a sucker for to-do list software, constantly searching for the Holy Grail. At the BDJ price, I'll buy it.

I'd like to see you guys around for a while and I hope you don't mind what is intended as constructive criticism. Your website, as an earlier commenter said, doesn't really provide any information. In fact, at first I thought it was one of those affiliate marketing sites.

Personal preference: if it is underlined or in colored text, it should be a link.

What is selling me are the screenshots and video.The website itself provides hype, but not information. I'll be downloading the manual and demo tomorrow, but the concept appeals to me and I will most likely buy when the offer is up.

Rich Butterworth @Brian, the pro version requires no subscription. ShoutDone syncs via a (free) Evernote account (you can set one up in a couple of minutes at http://www.evernote.com)

@Jerry, thanks for the constructive feedback. The product has taken a long time to perfect, and it's a high quality piece of software, so if the website isn't conveying that in the right way then it's something I'll need to address.

I'm one of the Evernote Haters. I hate the white background that gives me whiteout, and I feel it's underfeatured. But I really like your SHOUTDONE approach! I use BackPack for collab, and really don't need to synch TODOs with anyone, anywhere, just me.
--Can you tell me how the absolutely beautiful and useful graphically driven SHOUTDONE would be for a solo user, no synching for mobile needed?
Congrats on a just about perfect user interface and great concept, particularly the highlighting and prioritizing via so many user-created options.

Rich Butterworth @michael - there is a planned Android version, but it's a little way off yet.

As an interim measure, thanks to the fact the ShoutDone syncs with Evernote, the Evernote app for Android gives you ready access to your data on the move, and you can of course e-mail tasks directly to your projects using any mobile device.

The application is intended to be single-user focused, so while it allows you to delegate tasks within projects (and to call up filtered views of these delegated tasks, for follow-up) it doesn't allow others to view your tasks.

The thinking here is that you have a 'closed loop'. Your task management system is your system - tasks delegated to other team members are managed by them, in their own chosen system.

That said, you can set up team members, and those team members could sync with a common set of Evernote credentials to view their own tasks, and add more tasks.

Vanessa N To those inquiring about Android....I'd like a tablet myself, but am forcing myself with much impatience to wait for Windows 8 - out in official beta this spring, and released this fall. Windows 8 is tablet-optimized/GUI-friendly, and will be worth waiting for. Applications like ShoutDone (and all your other desired Windows applications that you've bought over the years)....you can have it now in tablet form, and ShoutDone would probably look marvelous on a Win8 tablet.

That said, I seem to be having trouble with my attempts to use Shoutdone. Is it truly Win 7, 64-bit compatible? I have a dual-core Xeon processor machine, 10,000 RPM system drive and 6 gig of ram, and I find it laggy in various areas (and certain features aren't working).

1) I'm impatient and a speed demon, but it seems to me that when you hover your mouse over the various icon-only interface, looking for the explanatory tool-tip text as to what those icons mean....to me there is a distinct lag here while I'm waiting for the tool tip to show up. It should be instant as most tool-tips are, but it's about 2 seconds or so. This could be improved.

2) For a while I was wondering how the colors worked. For a while I was thinking it was all black and white. For the sake of demo-ing, I put a couple of fake projects and several fake tasks under each of the project. In face the first time I tried using this (it may have been on my work machine, an XP) I couldn't get the second column (project) to show up. When I got home I tried it again (set up 2 projects with fake tasks) and the two columns did show here, but everything is black and white.

Then later I realized that you had to change the Profitability to "something" (I had not indicated any), but with both "low" and "medium", the color is the same (yellow).....Then I thought, change the deadline....in both they were due a week or a couple of weeks from now; if I changed one to "Today", it went pink and to the top. But I did find it odd that initially everything was black and white, and profitability seemed to change something to yellow.

a) Is there a guide to the colors somewhere and what shows up when? Can the colors be modified to your choosing?
b) I hadn't filled out Profitability because many tasks I don't see in a financial state of mind; they're either personal (but still important)....It seems the traditional "priority or urgent" isn't used here. Is there a way to add a category yourself (or via the developer) besides profitability?

3) Lastly, the Inbox area does not appear to be working for me. I went in there (and also experienced the lag time for the tool tips over each area), and wondered what to do in this area (i.e. no left or right mouse menu click options for any of these options). Then I read in the manual about dragging tasks to these icons, and I tried to archive by dragging.....but it won't even drag and drop! I click on the task, try to drag it over, nothing moves.

4) And, on my home machine, the Win 7....I just tried adding a new project, and nothing shows, not even when I did the second step of adding multiple tasks (as with the others, very simple tasks simply labeled 1, 2, 3....just for testing purposes). There's no third column. I would think that:

a) adding a new project would at least add the project header at the top of a new column. But it would also be nice that, while you're adding the project, you could add several tasks at the same time, but you have to add the project first, and then go back and add tasks.

Just tried again, multiple times, to add a project.

I like the idea behind the interface...a graphical representation of your tasks, color-friendly. I think it will also have merit if you could drag tasks from one column (project) to another.....But I don't see that that's possible yet.

Then again, there are several things on this demo that isn't working that I could see. I'd purchase if it didn't have all these initial problems.

Thanks for taking time to try out the software, and for your feedback.

Thought it'd address each of your points for you, in the hope it will help you (and any others reading the thread).

1) Tootlips.

The tooltips are set to show after a delay of approximately 1.5 seconds. The reason for this is that - once users have established what each button does - we felt it would prove annoying if the tooltips kept on appearing. 

The delay is set at a level whereby those who need the help can get it, and those that don't are not plagued by unwanted messages.

2) Colors.

The color-coding of tasks is as follows:

Default: white
Due today/Overdue: Dark pink.
Has revenue earnings potential: Gold
Delegated: Blue

There are no more colors/shades so as to keep the view simple to understand. The most important thing in the view is the task/next action needing doing (in accordance with the GTD methodology around which the application is based).

Note: also, just so you're aware, empty projects do not show (as there are no tasks in them to display). We are looking into making this clearer, so that users who create projects aren't expecting to see them in the view.

3) Inbox. 

The column of tasks in the inbox has two movement options. Scrolling up/down will scroll the list (assuming there are enough tasks in the list, of course) and clicking and dragging from right to left will drag an 'outline' of the task, which you can drop onto the relevant icon (e.g. The 'trash can' if you want to delete the task).

Again, this is all demonstrated in the getting started video above.

The only tip I would give here, is to make sure the action of 'dragging' is a horizontal one, just so ShoutDone doesn't mistake the action for an up/down action.

4) Adding projects and tasks

The fastest way to add projects containing tasks is to use the 'add multiple tasks' option, then (in the step 2 screen, when you're entering tasks one per line) simply add a new project by clicking the '+' icon and entering your (new) project name.

When you complete the task addition, all the new tasks will be added to your new project.

I'm pretty sure the above points will resolve the issues you have raised - we normally communicate this information following the user's purchase, but I appreciate the format of this promotion would benefit from more information up-front.

1) How about allowing the ability to turn off tool-tips once you know what the icons are?

2) I'm aware of the scrolling up and down of tasks within columns. I'm still not able to click and drag, left to right, any of the tasks, to the inbox area. (Note also, that even if you were to drag left to right, you still have to go "down" at some point, as the inbox is not directly to the right of the columns, but often south-east (lower right).

When you open the inbox, the tasks in the columns behind it all dim. They get brighter (i.e. reachable) when the inbox is closed.

3) I still think it would be useful to be able drag tasks between columns. A feature request, as you will.....or copy a task into another column (project).

As well as the ability to drag columns to manually place the project higher in importance (towards the left, since that's your schematic)

Just some thoughts for enhancements to the product. But since I still can't use the inbox (at all), I'm going to hold off on purchasing. And even though I had added multiple tasks to the 3-4 extra projects I had created earlier, none of those columns are showing up. They do now when I created yet another set of projects, but the ones earlier haven't shown up. And I can see them in the add tasks area or edit projects area in settings, but evening changing the due date there of the project (to today), does not make the column show up (or move to the left).

So I think you have some bugs.

1) I'll make a note of the tooltip suggestion for a future release - thanks for the suggestion.

2) Inbox - If you are seeing only dimmed tasks in the background, then that would suggest that perhaps you're looking 'through' an empty inbox at the tasks behind.

In other words, it sounds like there's nothing currently in your inbox. 

Try adding some new tasks with no project - you should hopefully see some tasks in there next time you open the inbox.

Once you have some tasks in the inbox you'll find you can drag and drop the tasks no problem. 

The other clue that there are no tasks currently in the inbox is the fact that you couldn't right-click the tasks. You will also be able to access the right-click menu for inbox tasks no problem, once added.

Note: once the inbox is loaded, the tasks behind, in the main view, are inactive.

Side-note, for anyone reading this thread, and wondering what on earth the inbox is actually for, here's a quick explanation:

The inbox is for capturing any tasks you choose to enter into ShoutDone (directly using the 'add' tool, using the CTRL-T hotkey, or via email) with no project set. 

This proves particularly useful when extrapolating tasks from your 'buckets' (as David Allen, author of 'Getting Things Done' refers to them) - you can quickly blast through your assorted scraps of paper, emails, phone calls, etc., adding the tasks to your inbox, ready for 'processing' later.

The 'inbox' is where this processing takes place. You can quickly manage your tasks with the inbox tool, by dragging and dropping tasks onto an appropriate icon.

Apologies for repeating earlier posts, but the quick start video (and tutorial) gives a good demonstration of this all in action.

3) Dragging tasks between projects. 

I did initially think about dragging tasks between projects, and I promise I will revisit this again in future! ... The thinking was that, firstly, this might cause problems with the scrolling/right-click functionality (when dragging a task, it would be difficult for the software to distinguish between a 'scroll' and a 'drag', in some cases) and, second, since most tasks are project-specific when created, the likelihood of actually needing to move  specific action to a hitherto unrelated project is relatively slim.

However, if the need did arise, the project can be quickly changed by right-clicking the task in question and selecting 'edit task'. I think in all it's 5 mouse-clicks start to finish.

Andrew Griffiths Because it looks so promising, I've been 'playing around' with this
software for a couple of hours. I've had one crash and I can see lots of opportunities for tweaks/improvements/preference options but:

This looks like one AWESOME, ELEGANTLY designed piece of
software and an excellent first release from a clearly classy company (watch video + visit site).

Like others I've tried many many task managers (including Asana which is funded by a Facebook billionaire) and haven't found one that works for me. I still have to be skeptical given past
experience but I'm allowing in some cautious optimism that this may be the one!

Definitely worth giving it a shot for $20 - I may buy several copies for my team.

other software. I have no affiliation - I live in California - although as an expat Brit it's nice to see what may be great software come out of the UK - not what I would have expected from Monmouthshire in Wales :)

Adrian Williams I'm trialling this on a Mac. I had a bit of an issue with the inbox. I managed to 'lose' a task that I entered. Couldn't find it.
I created the same task again to continue my trial.

I've noticed that if I create a task starting today and ending tomorrow for example, the task shows OK until i click on the filter by date due and click 'this month' the task I just entered disappeared, even though it's set to start and end this month.

I also managed to drag a new task to the archive folder icon in the process your inbox pop-up (by mistake). There doesn't seem to be any way of recovering that task.

To be fair to Rich, he replied within the hour and explained that once archived, it can't be recovered at present.

All minor glitches and I'm sure they'll be fixed.

I'm sure there are many suggestions that can be made to 'enhance' the application.

One is a pop-up showing the settings of the task, including start and end dates etc. without the need to go into edit mode. Roll your mouse over the task and after a sec on delay, the parameters are shown.

Push back deadline could have a box to enter your preferred number of days rather than the limited 1,2 or week.

Another is to have a single window to enter the task settings rather than split over 2 pages, even if it had a scrollbar.

We could go on. Based on the quality of support, I'm likely to buy it.

Jesus InsideMe Just confirm this Rich, if I'm going to use Evernote to sync my task with ShoutDone (SD), that's mean can I use directly that Evernote account in order to create a new task, and that task will be created in my SD installed onto my laptop?, if yes, then can I use the Evernote Android mobile version to do that job?, God bless u, bye.

Rich Butterworth Yes Jesus, you can create tasks in Evernote and they will appear in ShoutDone.

So, you can use an Android Evernote app (or iphone/ipad version) and you can even email your tasks to Evernote, and have those tasks appear in ShoutDone too...

Arnor Baldvinsson I can't see any mention of the PRO version on the website and it's not clear if the BDJ offer is the PRO version or not. I use EverNote all the time and would definitely like the ability to have those two work together!

Q1: What does the size of the task boxes represent, duration?

Q2: Since ShoutDone works with Evernote, is it possible

(a) to link to Evernote items for 'more info' on tasks?

(b) to create a task from an existing Evernote note item?

If the answer to Q2a/b is no, are there plans to offer such possibilities?

Rich Butterworth Alexander, the box size is duration (or size of task), yes.

The options are:

Small: (2 to 25mins)
Medium: (25 to 60 mins)
Large: (over 60 mins)

The thinking behind the task sizes is as follows:

i) any more granularity than small/med/large is unnecessary, and adds an unrealistic expectation to your task list.

ii) as per David Allen's Getting Things Done (GTD) principle, tasks less than a couple of minutes in estimated duration should just be done there and then.

iii) tasks significantly more than an hour in estimated duration could likely do with breaking up into smaller, constituent parts.

Regarding your Evernote questions:

Your tasks can contain descriptions, which map directly to the 'body' of your note. The contents of your tasks is currently limited to text.

You can create tasks manually, in Evernote, and have them automatically appear in your ShoutDone projects. Similiarly, you can move existing tasks from Evernote notebooks into ShoutDone projects, creating tasks as a result.

Rich Butterworth Hi Jesus - not quite sure why you would have to close the app to view project tasks - lets do some checks to see what's happening (I will email you directly).

On the question of finding earlier tasks, thanks to the way ShoutDone works, your projects are likely to end up grouping a lower number of tasks together, making it easy to check through an existing project's tasks.

You'd just scroll left/right in the main view to locate the project and then scroll down that project's task list to find the task.

In the unlikely event that you'd need to search for a task, for now I would recommend popping open a browser and searching your notes, in Evernote.

In-app searching is something we will revisit in a future update.

Adrian Williams Just a final word from me. I cannot praise Rich enough for the level of support he provided since the promotion. He even created a 3 minute video specifically to deal with an issue I had on my Mac version of the software. Now, the issue has been resolved and I'm in the process of loading ShoutDone with lots of tasks. Great work Rich.

Mark Claypool I must be missing something. I downloaded the Mac version and it simply does not work. Nothing will show up in the main window no matter what type/context/date etc I enter.

Mark Claypool It is now working. I deleted the application and reinstalled it a few times with no success. However, when I deleted each data file from the Library folder on my Mac and then reinstalled the software it seems to have sorted itself out.
