Vernon Twyman I have a small company office here in the United States with 3-4 employees all using individual computers that are linked together on one Local Area Network. I also have another office overseas with 4-5 employees all using individual computers that are linked together on another Local Area Network. In addition, I have a personal Local Area Network at my home that (including laptops) which has between 1 and 4 computers hooked up at any given time.

Brian H Hi- this looks like a very good product, and I see it got a great review from the editor's of C-Net, as well. The product reminds me a lot of "Paperport". Question- the web page for the product says "Email messages or just their attachments can be dragged & dropped from MS Outlook". Can the software be set up to "automatically" add and index all Outlook email messages, or does the user have to manually "drag and drop" them into Sohodox? Thanks. -Brian

Harold Anthony Hi Brain, you can setup Sohodox to automatically using the 'Email Capture' feature.
Email Capture in Sohodox, downloads email messages from any POP3 mail server and adds them to Sohodox.This module will automatically extract fields (To:, From; Subject etc.) from the email message and enter them in Sohodox.

To setup Email Capture, you will require the POP3 settings that are supplied by your email provider.

Harold Anthony Hi Vernon, Sohodox licenses are concurrent. That means you can install Sohodox on as many machines you want ( on the same network), However at one given point the number of Sohodox users logged in will be equal to the number of licenses you purchase..

So if you purchase 5user Sohodox license, you can install it on all the machines in your organization that are connected on the same network, however at one given time only 5user can log into Sohodox.

Since you mentioned that you have 3-4 employees in the US office, I assume that at one point atleast 3 users will be connected to Sohodox, hence I advised for 3user licenses.
Accordingly 4user Sohodox licenses for your overseas office and 3user for your home respectively..

In total it comes up to 10 users, you can decide and select from the license packs available, that will best suit your requirement.

Brian H Hi Romuald, Thanks so much for getting back to me and addressing my question. A follow-up question regarding "Email Capture"- since Sohodox downloads from a POP 3 mail server (I am assuming the same way that Outlook does when checking email, would this mean I have to then use the feature in the email program that "leaves a copy of email on server after downloading"- otherwise if Outlook beat Sohodox to the server, by default (I believe) Outlook would then automatically delete the message, making it unretrievable by Sohobox? If so, then having to manually delete the email messages form the server would become a cumbersome task, I would imagine. Or is there another way that would allow both program to download message, and also have it auto-deleted from server? Thanks again! -Brian

You are right Outlook will delete messages from the server before Sohodox can download them. There is a simple work-around to this.

Create a new Email account (for example, forwardedmailsgmail.com) and set up your existing account to forward all email messages to this new account automatically.

Now simply configure Sohodox to download messages from this new account using POP3 settings

So Outlook will download and delete email messages from your existing account and Sohodox would download the email messages from the new email account. This way there is a copy of your email messages on Outlook as well as on Sohodox.

Yes, it is compatible with Windows 8 both 32 and 64 bit machines. It is also compatible with Windows 2012 Server.

Yes, it can be saved directly to a Sohodox folder using the Folder Monitor feature.


Are there any size limits on a database?
Sohodox uses MS Access based Db which has a 2 gb data limit, the dataase only saves the indexing information. Sohodox can easily handle around 100,000 documents. We are also going to release a new version by next month which will support for MS SQL Server Express 2012, it comes with a 10 gb data limit.


Are there any issues with syncing the database to Dropbox for a single user?
Only documents can be synced to a dropbox folder and not the entire repository.

Paul joubert Appears to be an excellent program and just what I'm looking for. However after three failed attempts to download 54.2 Mbs at a max 6.4 Kb/s (+- 2 hours) at different times, regrettably I have called it a day. Am I the only one with this problem?

Nick Kobe I have several questions that are related:

1. Are you also the developer of Globodox? These products appear to be very similar as well as the company name (Itaz).
2. Can you open a document in Sohodox by clicking on it and editing it with its associated software? Also, can you open an MS document if the association is other then Word, Excel, etc.?
3. Can you physically move a file from one directory to another directory within Sohodox? For instance, if a document is ACTUALLY stored in "My Documents" can you move it to an ACTUAL folder called "Misc Documents". In other words can you replace MS Directory Management?

peter schleifer Would you like to comment on this aspect on your program:

The database (db) is just for the index, the files stay within the file system (I think that's very good; I lost thousands of photos by Adobe Lightroom, for its way of storing your files under new names, I never understood where and how, and I cannot bear to happen the same thing with my other files, so I must know what's going behind the scenes before buying.)

1 In your screenshots, I see "Public folders / private folders"; may I assume these are virtual folders within the db, and do not correspond to the file system and to the names of the physical folders?

2 So what about the folders and files in the file system? Does your software check for moves/renames of the physical folders and/or files, made outside your program (within any file commander)?

3 In both cases, is there a way to rename/move physical folder and/or files within your program? By what commands? Can we see a screenshot for the dialog doing this? Is moving files only possible by drag and drop, or do you have some file commander gui for doing this, with two panes, source and target?

4 Is the "Document title" within the pane "Documents", right to the pane "Workspace", the original title of physical file, or is it something other? In other words, can this "Document title" be changed, within your program, and then appears as a renamed physical file within the file system, just like you renamed it in "Douments"? Or is it possible that the title here is / becomes something else then the name of the physical file represented by this "document title"?

5 With respect to 1, can one virtual sub-folder appear in more than one virtual parent folder?

6 Ditto for files, can one file ("document") appear in more than one virtual folder?

7 If "yes" for questions 5 and / or 6, does a "delete" just delete the reference, or the physical folder/file? Even for the last instance of that physical file? Is there a warning for this delete, when it comes to the last instance/reference, and thus it would delete the physical file, instead of just a reference?

I am sorry I am so technical, but serious buyers will need to know the answers to these questions before going to administer their files with such a system where a db is an overlay to the physical file system.

Yes you can open a document in Sohodox in its default application. You can also choose to open the document in other associated program.

Yes, you can move a document in Sohodox from one folder to another. You can also import your existing folder structure that is on your drive to Sohodox by simply dragging and dropping it.

Harold Anthony @peter Yes, the indexing information is added to database and the documents are added to normal Windows folder. The files names are not changed in Sohodox unless there are two documents of the same name, in this case a suffix is added to the file name.

HJ B 1. I have four computers that are used only by me. One is a laptop and three are desktops that are located in three different areas of the same building. The idea is that I can always have access to communications or data.

2. I also have a iPad.

3. If I purchase only one license:

A). As a practical matter, if all of the computers are on all of the time, what do I have to do to use your program, as I go from one computer to the next? Is this a situation where I would literally have to shut down the program as I leave one computer and then start it up on the next computer I arrive at? If so, how long does a restart of the program take?

B). Assuming I have access to my LAN via my iPad, is it capable of interacting with your program/database?

C) .Assuming I have access to my LAN via my laptop, will it be capable of remotely interacting with your program/database.

D) If one of my computers does not have a license installed, does it have access, at all, to data that has been generated by your program/database. For example, can I print or save a full or partial index that would be readable by that computer?

E) If one of my computers is not licensed, will the program be able to include in its data base the data that is on that computer?

F) If one of my computers is not licensed, but has authority to change, add or delete files on a licensed computer, will those changes immediately be picked up by your program/database?

A) Yes, you will have to logout from the application before logging in from another application. It takes less than a min for the application to launch.

B) As of now there is no support for ipad but in the next release which schedule to release by next month we are going to have an app for iphone, android phones and tablet devices.

C) Yes connecting to the software via remote desktop services is possible.

D) No you cannot connect to the database from an unregistered copy of Sohodox. Yes you can export the indexing information to an excel file which can then be read from any computer.

E) No. An unregistered copy of Sohodox cannot connect to the central repository of a registered copy.

jakobfries I added a folder with PDF-Files into a Sohodox-folder and assigned each file a document type. Now I noticed first, that when I delete a document inside a folder in Sohodox, the document isn't gone but still seems to exist under its document type. So if you really want to delete a document with an associated document type you have to delete it twice. That's very inconvenient.

Then I noticed that in the "Default File Store" there are two folders which both contain those pdf-files I added to the Sohodox-folder, I suppose one folder is for my folder in Sohodox and the other folder is for the document type. If that is correct it means that when one adds files to Sohodox and assigns them a document type the files are acrually stored twice in the "Default file store". That's a real waste of disk space!

I wonder what happens if I edit a file via "Edit in Associated Application". If each file with a documument type is stored twice (in two folders in the default file store), are the changes saved in both files or do I then have two different versions of the file?

Another thing: Is it right that one cannot create a new Sohodox DB and have several databases? I wouldn't want my private files and my work files in the same database?

Apart from these points Sohodox is best programme of its kind I have up to now evaluated and I would really like to have but if I am right about the points I mentioned, that may well be a reason not to buy it. So I hope I am not right and have perhaps overlooked something.

Here are clarifications of parts E and F of my prior inquiry:

E. On a typical LAN, Computer "A", can access data on:

a) An external drive connected to Computer A
b) An external drive that is a LAN device
c) Another computer that is on the LAN.

My question is whether your program, on a licensed computer, can index and/or otherwise manage data on an external drive or on an unlicensed computer that is on the LAN.

F. On a typical LAN, Computer "B" can be granted permission to modify, delete or add to the files on Computer "A".

a) If Computer A is not licensed to use your program, but Computer A is licensed, what happens if Computer B attempts to modify data on Computer A? Does your program stop it?

b) Does your program promptly modify its database to reflect the changes?

Harold Anthony @Joerg In Sohodox when a document is deleted from a folder or a document type it does not get deleted permanently it is still available in the All Documents node. If you wish to delete a document permanently from Sohodox then you can do that from the All Documents node instead from the folder or the document type.

No two copies of a document is created unless you have added the document twice. The file store only contains the documents, the document type and folder information is stored in the database.

When you edit a file in Sohodox using the associated application, on saving the file the document is replaced and the latest edited version is displayed. Sohodox does not maintain the versions of a document.

No you can have only one database in Sohodox. You have the options of creating Private folders in Sohodox, so if there are other users using the system they will not be able to view your private folders when they login. Ofcourse each user should have their own login credentials.

E) Yes the document repository can reside on any drive on the local network. Sohodox also supports NAS devices. Sohodox works in a server-client environment, this means you can install Sohodox on any machine on your network and then point it to the location to the central repository to access the data. The documents added from any machine on the network will be saved in the central repository.

F.a) No Sohodox will not stop it. Sohodox is a document management software and manages the documents that are added in its repository, it does not have control on data that is outside its repository.

F. b) Yes the database is modified immediately whenever any changes are made to the system (add, modify, delete).

Jeff Carbello Does it support any custom reporting features to produce a report for insurance purposes for scanned receipts for home inventory. That is query for items meeting this doc type, tag, etc and then produce report showing data type field of item value, date purchase, etc?

Harold Anthony Using the Advanced Search feature you can generate reports for e.g. you can generate a report to view the invoices added this month. The search result can then be exported to MS Excel, which can then be used to generate graphs based on the indexing information.

As regards having only one database, my worry is: Suppose I have lots of files for two different projects A and B. In each project the files are divided into different Sohodox-folders. If I then want to see all files from project A I have to go to "All documents" (because otherwise I can see only the files in a subfolder and there seems to be no way to click on a folder with several subfolders and see all the files in all the subfolders.). But then I see the files from project A and B when I only wanted to see files from project A.
Is that right or did I again miss something?

Harold Anthony @jakobfries I would suggest you to use Tags in this case, documents belonging to "Project A" can be tagged as ProjectA and documents belonging to "Project B" can be tagged as ProjectB. Now when you click the ProjectA tag all the documents beloning to Project A will be displayed.

I have one final question: When I use "Add Folders from Disk" Sohodox imports the files and folder structure to Sohodox. But in the Default File Store all files (from all folders and subfolders) are stored in only one folder and on the disk the original physical folder structure is gone. This has the following disadvantage: If I want to keep the folder structure on disk - because I want to retain the possiblity of working (searching, copying etc.) with the files directly in Windows explorer without launching Sohodox (and because the file store folder names are non-descriptive, so you can't guess from the folder names which folder contains which files) - then I cannot let Sohodox delete the files after importing them but must keep them. But that of course means that I need twice as much disk space. Is there an option in Sohodox to only link to the files on my disk instead of importing them?

Jim McGowan Looks like a very nice, comprehensive software package. However I believe it may be more than I need for my home network. While I do need a document manager desperately, my budget doesn’t allow me the luxury of Sohodox.

But I do thank Harold and BDJ for this offering!

Jeff Carbello Jim, take a look at Mariner Paperless should meet your needs. What would be your bare minimum features you would need in a home doc manager? I think paperless meets most of the home doc. management features needed.

They had a prior deal here on Paperless so , I actually own both now and will decide between the 2 but leaning heavily towards Sohodox unless I find it has some major limiting feature I need or bugs.

I do see Sohodox never answered my question if it had any custom reporting features. I assume that means it does not. Paperless on the other hand does.

Using the Advanced Search feature you can generate reports, for e.g. you can generate a report to view the invoices added this month. The search result can then be exported to MS Excel, which can then be used to generate graphs based on the indexing information.

Jeff Carbello Thanks Harold - I am sorry, I missed that since I saw it mentioned search and skipped over it quickly. I understand now, that while custom reporting is not a single direct feature that it can be accomplished via a custom search and then export. I think the only thing lost in the 2 step process is ease of use and the ability to truly design a custom report with totals, headings, footings, groupings, totals, etc. But all that can be done in Excel, but its extra manual work versus have a saved report template for insurance reports and clicking generate.

Is there a method by which customers can request features as I would prefer to see future releases provide some custom reporting and saved report template feature?

I am sure other users would also have such questions and am hoping that you and other users find our replies helpful.My reply is long so I request our viewers to expand it to view the entire message.

The database (db) is just for the index, the files stay within the file system (I think that's very good; I lost thousands of photos by Adobe Lightroom, for its way of storing your files under new names, I never understood where and how, and I cannot bear to happen the same thing with my other files, so I must know what's going behind the scenes before buying.)

You are right about this. We chose this approach because apart from
other advantages, customers tend to be most comfortable with it.

1 In your screenshots, I see "Public folders / private folders"; may I assume these are virtual folders within the db, and do not correspond to the file system and to the names of the physical folders?

Yes these are virtual folders in the DB that do not correspond to the physical folders in the file system.

2 So what about the folders and files in the file system? Does your software check for moves/renames of the physical folders and/or files, made outside your program (within any file commander)?

We designed Sohodox to be a Document Management Software for small
businesses. Its design, pricing and feature set are aimed at making it easier for small businesses to adopt document management. In our experience price and complexity are two of the main reasons which prevent small businesses from adapting document management even though they have a definite need for it and are usually clear about how it would benefit them. Though there is some overlap between a File Manager and a document management system (DMS), both types of applications are designed to solve different problems. Sohodox aims to create a single, centralized and well categorized repository of
documents which can be searched from multiple machines. One of the
main goals is to be able to find documents quickly based on different criteria (for e.g. All bills paid last month). A DMS like Sohodox therefore has very powerful indexing/categorization features. An area that File Management applications are not very strong at.

When you add files to Sohodox they are copied to a folder which Sohodox refers to as its File Store. Paths to these files within Sohodox's File Store are added to the Sohodox DB. Like most DMS software we do not recommend direct access to the File Store via Windows Explorer or via any application such as a File Manager application. Monitoring for and responding to external changes to File Store would add needless complexity to Sohodox.

3 In both cases, is there a way to rename/move physical folder and/or files within your program? By what commands? Can we see a screenshot for the dialog doing this? Is moving files only possible by drag and drop, or do you have some file commander gui for doing this, with two panes, source and target?

No there is no way to rename or move physical files or folders from within Sohodox. You can change the names of virtual folders and document titles.

4 Is the "Document title" within the pane "Documents", right to the pane "Workspace", the original title of physical file, or is it something other? In other words, can this "Document title" be changed, within your program, and then appears as a renamed physical file within the file system, just like you renamed it in "Douments"? Or is it possible that the title here is / becomes something else then the name of the physical file represented by this "document title"?

The "Document Title" of file is initially generated using the file name and it can be changed within Sohodox. However changing the "Document Title" does not change the name of the underlying physical file. This ensures that any external backup programs being used work correctly. However when you export the file from Sohodox (for e.g. via Drag and Drop) Sohodox will name the exported file using its current Document Title in Sohodox.

Please note that we have received request for renaming of the physical file and may implement this in a future version.

5 With respect to 1, can one virtual sub-folder appear in more than one virtual parent folder?

No virtual sub-folder can have only one virtual parent folder.

6 Ditto for files, can one file ("document") appear in more than one virtual folder?

No a file can appear under only virtual folder. However if a file requires multiple categories we suggest the use of tags. In fact our users have found the combination of tags and folders extremely powerful.

When it comes to indexing and categorizing documents, the real power of Sohodox lies in the Document Types feature. This lets you store different pieces of information along with each document and later use that information to search, sort and group documents. For example with each invoice you could store the Vendor Name, date, amount and payment status. And then quickly locate things like "all unpaid invoices from a particular vendor". You can even save such searches. Such saved searches act as dynamic folders.

7 If "yes" for questions 5 and / or 6, does a "delete" just delete the reference, or the physical folder/file? Even for the last instance of that physical file? Is there a warning for this delete, when it comes to the last instance/reference, and thus it would delete the physical file, instead of just a reference?

You can delete the actual physical file along with all its references (Del key) or just a particular reference (Shift+Del). Appropriation confirmation/warning dialogs are displayed.
