What are people saying about My Digital Documents 2012

Tazzie Why only one installation per footprint? What about computer crashes and necessary reformats and reinstalls?

Support Hmmm. I may have misunderstood the licensing options and mislead you. If your drive crashes or you purchase a new computer you can install My Digital Documents 2011 again. I thought that I was indicating that you need one license per computer but apparently not. We do not use Server Authenticated licensing so this will/would not be a problem.

_*_ Martin, with the 1 install limit, I was not even going to look at the software, but if I understand you correctly what it says in the Policy is incorrect. Let ask a few questions so I can understand better.

What are the DRM restrictions then; how does it work?

1. Is online activation required?
2. Does it take a hardware footprint?
3. How many installs does it allow before the user has to ask you for more?
4. If the limit is reached, is it reset to the full amount, or is only 1 or 2 additional installs given out?

Thank you

Support Q1 Answer) We do NOT use DRM at all, we don't like it ourselves since we too have been burned by this type of license authentication.

Q2 Answer) MDD 2011 does not take or use a hardware footprint during the licensing process.

Q3 Answer) No Limit.

Q4 Answer) No Limit so this does not apply.

We would also like to clarify something here. We understand that some people have more than one computer, let's say a desktop and a laptop.

What I wanted to select was one license per user... but I don't believe I saw such an option.

In such a scenario, you can install the application on both of your computers since you may create and use the database on one and need to carry it with you on the laptop when on the road.

We do not enforce DRM Restrictions and realize that you need to get to your data when you need it. We rely on an honor system in this regard! I suspect that I indicated the incorrect licensing scheme from the BitsDujour product setup options and apologize for this confusion.

Christopher Ford I'm impressed!!! This is a really nice package.

I've downloaded a few document managers in the past and this one beats them all in one way or another. I'll be replacing the one that I currently use with this one for sure.

I really like being able to create multiple document databases - that's a great feature!

Can't wait for Sunday to arrive now but I'll take this delay as an opportunity to begin exporting all of my documents out of the old document manager that I'm using and create a number of databases (something I couldn't do with my old DM because it only allows for one database) so I can better organize my documents.

Job well done.

_*_ I am trying to run the Demo of the program and every time I start the program it crashes after a few moments of being open. I try closing the program through Windows 7 (64bit), but it is not able to close the non-responding program. I end up having to literally hitting rest on my system to get it to work again.

Any ideas?

Support Hi MB,

We'd certainly like to find out the cause of this! My Digital Documents 2011 is heavily tested on clean installations of Windows (XP & 7) as well as on the fully loaded machines of our beta testers and this has never been reported!

Would you mind sending us an email to: administratordataobjx.net as we'd like to open a ticket on this and having your contact email address upload a special build for you to download that will incorporate special debug code that may assist us in pinpointing the issue you describe?

I'm sure we'll be able to find out what's happening on your machine in this way.

Christopher Ford I really like this program. You guys did a great job!

Can both me and my wife connect to the same database and scan/add documents to the database at the same time?
Jun 3 2011 at 2:40pm Copy Link
0
Support Christopher, it's possible but not recommended. The reason why I say it's possible is because we use a kind of 'stateless' connection to the database. That is to say that the application will connect, do what needs to be done and then disconnect.

Consequently, it is possible. However, it's likely that at some stage your wifes instance of the application and your instance of the application may try to access the database at the same time - and only one of you will win.

It sounds like you have two scanners... so, it would be better for each of you to have your own database. When you're both done scanning documents, you could export all from one database and import those files into the other 'master' database.

I hope I've explained this well enough, but if not let me know.
DataObjx - Jun 3 2011 at 2:47pm Copy Link
0
Support Christopher, I should also mention that (if you have two scanners) you could open two instances of the application on your PC.

Point one instance at database "Master" and the other instance at database "B".

Use instance one to scan from printer one into database "Master" and the other instance to scan from printer two into database "B".

Then export everything from database "B" and drag n drop the folders/files into database "Master".

It may not be obvious that you can open multiple instances of My Digital Documents 2011... but you can.

This is also a very handy feature if you need to compare the documents in two different databses - side by side.

_*_ To Everyone considering the purchase of My Digital Documents 2011; I want to say that Martin and everyone at DataObjx have been incredible helpful in resolving the problem I was having with the demo (earlier post).

Martin was immediately in touch with me faster than I could get back to him at times. Simply amazing! He sent me 3 separate builds of My Digital Documents 2011 in approximately 24 hours, and walked me though every question I had about the program.

Service like this is all but extinct, but Martin and DataObjx went above and beyond to make sure a single individual (who has yet to purchase the program), was well cared for, and has remained in contact and still is in contact with me to make sure I am satisfied and understand the software.

With service like this and no DRM there is no reason not to purchase a well thought out and versatile program. I would place Martin and DataObjx in the very top of Bits vendors for service, support, and software quality.

If Bits had a rating system (hint, hint) Martin and DataObjx with without question receive a 5 out of 5 stars across the board.

Thank you Martin for all you have done, and I look forward to My Digital Documents 2011 coming on sale and it occupying a space on my hard drive.

Support While we cannot comment on HDM or any other document managers currently on the market, My Digital Documents 2011 has a number of features that set it apart.

Here are some of those differences, though the list is not complete. There's a lot to this application, some of which may not be obvious at first.

Please visit our website at: http://www.mydigitalapps.com for more information about this product. You can also view the Help file in the trial version for additional information about the features My Digital Documents 2011 provides.

MDD 2011 (My Digital Documents 2011) allows you to create multiple databases (as many as you want) enabling you to better organize your documents.

You can import any file type into MDD 2011. MS Office files, Zip files, PDFs, Images, you name it.

MDD 2011 has 256 BIT Encryption allowing you to encrypt the entire database.

MDD 2011 provides you with Version Control on your documents allowing you to get back to an 'earlier/archived' version of the changed document if necessary.

Each MDD 2011 databases remembers it's own backup location making it easy to backup your document databases. Intelligent restore allows you to get back to earlier (backed up) versions of your document databases. Intelligent restore prevents you from overwriting an unrelated database over the top of another by mistake. Refer to the Help file for more information.

You can also 'Clone' a database. What this means is that there will be times when you have stored many documents in a given database and decide that you really want some of the documents to be in another database. MDD 2011 allows you to 'clone' the original database creating in effect a copy of the original. You can then remove the files you don't want in the cloned database so that it contains only the documents you want. This enables you to better organize your document databases.

MDD 2011 allows for an unlimited number of folders and sub-folders allowing you to organize your documents and work-flow the way you want.

MDD 2011 allows you to open multiple Document Views or you can open your files directly from the document grid in their native application, like MS Word or Excel.

Depending on the amount of RAM in your computer, MDD 2011 allows you to import files up to 100MB and there is not restriction as to how large your databases can grow. Though we do recommend that you segregate your documents into reasonable size databases using the multiple database capability of the application.

These are some of the features of MDD 2011 and we hope that this and our website answer your questions. If the website or the help file still leave you with a question, please do not hesitate to ask.

Terry Whitford Unfortunately the document viewer doesn't seem to work for PDF files when using Foxit Reader as the PDF viewer. I don't have Adobe Acrobat installed on my computer because I use Foxit Reader as my PDF file viewer. If it is running, please exit and try again. (1:1)"

Support My Digital Documents 2011 does provide scanning (TWAIN/WIA) support. It also parses (extracts text for the search facility) from PDF files, Doc, Docx, text, rich-text, html & mht files to name a few - when these file types are dragged and dropped into the document database.

It does not contain OCR support for scanned documents and your questions highlight the issues associated with OCR.

Adding OCR (I should say) - properly adding OCR is an entire application 'within' an application... which is why many OCR supported document managers don't have the features you mention. OCR is a whole ball game in itself.

Having said that, we do plan to add OCR support at some point in the future, and while we have not integrated it yet we trust that the other features supported by My Digital Documents 2011 are sufficiently powerful in their own right to set it apart from many of the other Document Managers out there.

Modifying documents (Annotations, etc) is not something MDD 2011 supports. MDD 2011 does not alter your documents in any way which is by design. MDD 2011 is a 'historical repository' of your documents.

We are continually adding new capabilities to the scanning support and expect further enhancements to this facility as new builds are released.

Support Terry, I appreciate your report of this. Please understand however that in order for the application to provide the best support for the majority of consumers, Adobe Acrobat is the viewer to go with as it's most widely used by consumers.

We can however look into this to see if support for Foxit Reader can be integrated.

Support Andrew. Please check out our website and some of the other posts contained here. Download the trial version and play with it a bit. You should also peruse the Help file for additional information about it's capabilities.

Because of your familiarity with Paperport Pro you should be able to spot the differences and decide which DM provides you with the most flexibility and power to organize your documents.

Support Patrick, this capablity already exists in My Digital Documents 2011.

After you import your PDF(s) into MDD 2011 you can select the one or more PDF(s) in the document grid and then perform a right click - Open Files from the menu. The PDF(s) will then be opened by the default application (in your case SumatraPDF).

This functionality also extends to MS Word documents, MS Excel, or any other file type for which there is a proper file association on the computer on which MDD 2011 is installed.

Frank Stephens No non-Adobe viewers can support even a small fraction of what Adobe PDF is capable of, and I've found alternative viewers to be slower as well as very buggy. But the bigger question is, what's the point of these all-in-one databases on XP+, especially Vista+? MDD 2011 doesn't do OCR, which is essential for scanned documents. If you want all of your documents to be digital, you buy a decent OCR package. To find things, you use Windows Search (Win7 version is best), preferably with natural language queries and partial matching enabled. Windows is highly inconsistent on tags, which is very unfortunate. A number of photo, audio, and video formats support them. The next best option is to put tags in the filename. The worst option is to organize documents into folders. That makes them location-sensitive, and placing the same document in multiple folders (via hardlinks, symlinks, or shortcuts) is very cumbersome and inconvenient. If you're using Windows Search, tags aren't necessary where the document contains the keywords you might search on. Documents will be viewed with their native apps. For versioning, you can use decent backup software or document versioning software (or even Win7's backup plus restore points). For encryption, you can use on-the-fly encryption, such as TrueCrypt or FreeOFTE.

Jun 5 2011 at 12:42am Copy Link

Support Frank, thank you for you comments. It's true that you can use a half dozen applications, etc and you can leave your documents strewn all over your hard drives.

But the reality is that when files are strewn everywhere and the drive crashes or needs to be rebuilt - things get lost.

I know it's happened to me on a number of occasions - and I don't know of Any One who owns a computer where they haven't lost documents or files because the had to rebuild a drive and subsequently remembered that they'd forgotten to back up their "My Documents" folder or some other folder containing important information.

It happens - all the time. Using a DM also encourages the methodical storage and organization of files. And this generally doesn't happen for many people. They download the file, place it somewhere on their drive, install it and forget in time where they put the original file (and license key).... Having a DM makes one consider organizational traits and causes one to focus on segregating and organizing their files. And for some, many in fact - this organizational skill is more easily focused if they are using a DM rather than using their hard drive with all of the clutter that presents.

Even with backup software, files are strewn thoughout the backup making them difficult to find and retrieve.

When you've stored or compartmentalized your documents within a database (central storage location) - they're much easier to find, backup and retrieve. That's the power of the Document Management System. It gives people the ability to organize their files in such a manner as to give them peace of mind and ease of backup & restore. And for some people, who's hard drive is already full of hundreds and sometimes thousands of folders, it's awkward to keep things organized.

Document Managers aren't something you use, I understand and not everyone is as tech savy as you are - but that doesn't mean that there isn't a real need for them for most people. And there are real business cases (that extend even to the home user) for them.

This would certainly be a great feature and is something we'll look into though! Thank you for the thought!

Please Read:

We appreciate the comments made regarding OCR and would like to make a few comments on that subject and hopefully clarify a few things and provide food for thought.

OCR (Optical Character Recognition) allows an application to scan a document for the purpose of extracting the text content - usually to be stored in textual format (at least in DMs) so that they can later be found.

TWAIN/WIA on the other hand takes a scan of the document without reading the text and this scan can be saved as a PDF, .png or other image file.

The images are crisp and especially in the case where you want to save the scanned documents as a PDF, you can scan 10 pages in and create a single PDF containing the 10 pages.

The difference is that since the text is not retrieved when using TWAIN/WIA one may need to type in a few keywords (using the keyword/description field in MDD 2011). But not for the 'parser supported file types' (see below).

Usually, the addition of a few keywords and providing the documents with a good title will be sufficient for you to find most if not all of your documents. This won't be sufficient for some and we understand that but, let's face it. So much of what we store today is already in electronic format.

So, in reality - the only real difference between the two is the case of files that are not supported by the 'parsers' you may need to type in the simple addition of a few keywords or provide a good title. You'll find it.

MDD 2011 Parser Support:
In the case of .doc, .docx, text, rich-text, PDFs and other 'Parser' supported file types... the text is automatically extracted just like it would be if it were OCR'd. Except that it's more accurate since it derives the exact text from the document whereas OCR is really looking at a picture, trying to recognize numbers and letters and convert them to text... how many times does it turn the letter O into a zero. Our parsers derive the exact text.

Consquently if most of the documents you intend to store in MDD 2011 are one of the parser supported file types the entire file will be parsed accurately. Not all DMs do this. In fact some rely heavily on OCR and this can cause frustration, some of which has been expressed in some of the posts above. I know that frustration. Conversely, we rely on the parsers which we believe to be more accurate.

Anotherer consideration is that MDD 2011 allows you to store any type of file. You're not OCR'ing zip files for example.

The other factor to consider is how you organize and segregate your document databases. Since MDD 2011 allows you to create as many databases as you need - the requirement to search for something inside a single database is not as crucial. When you're stuck with one database - you have no choice.

If you want to create one document database to hold all of your 'outdoor tool purchases' make it and put all of your receipts for your lawn mower, hedgers and tools in that document database.

If you want to maintain one document database to maintain a record of all of your car repairs - MDD 2011 allows you to do that.

Create yet another document database to store your bank statements which again are PDF files and are parsed automatically when dragged into MDD 2011. You might then want to encrypt your bank statement database using the powerful 256 Bit encryption.

As a result, you know exactly where to find that receipt or document or bank statement. MDD 2011 allows you the flexibility and organizational capabilities so that one file you want isn't "floating" around somewhere in a single database containing hundreds and sometimes thousands of unrelated files.

Now that I hope to have explained how MDD 2011 parse these file types better than OCR and how MDD 2011 allows you great flexibility in organizing your document databases you have to ask yourself - "How much do I really scan?".

If the answer is 'Not Much', then it means that most of your digital documents are, well - already in a digital format. If it's a parser supported file type, the text will be accurately extracted... all of it.

Support Peter, can you tell me what PDF reader in particular that you're after?

We're about to release a separate version that supports Nitro PDF, so if that's the one you're after - we can probably support it by the time the promotion is active!

If you are looking for some other PDF reader, please let us know.

We've added a lot of new features since our first promtion including document tagging, enhanced scanning capability and numerous other fixes and enhancements and actively seek requests such as yours.

We may have to provide separate installers to support the different PDF readers, but that's OK. Not all of them support 'late binding' and when we try to combine them - they don't always play nicely together and throw an error if - let's say "Adobe PDF isn't installed but Nitro PDF is... and Vice Versa.

We do not mind providing separate releases in order to satisfy our customers.

Looking forward to your reply... let us know if it's Nitro PDF that you're after or some other. If the PDF reader can be supported we'll attempt to support it.

We're unable to find an interface that we can implement within the .NET code. We'll send an email to the vendor to see whether they can shed some light on enabling us to support this PDF Viewer. They do have an old VB6 example, but VB6 and .NET are way two different things and the VB6 example does not appear to be able to be 'translated' to .NET. Still, we'll shoot them an email and see what we can do.

Please keep in mind that you can still view the PDF using any PDF Viewer of your choice - even if the built in Document Viewer doesn't support your the PDF Viewer of your choice. Simply perform a right-click on the PDF within the Document Grid and then click on Open Selected Files(s).

This is true for all sorts of documents including MS Word, Excel etc. Providing that you have the application (Such as MS Office) installed on your computer, the file will open in its associated program.

HJ B Please clarify the licensing and networking questions.

I have four computers that are networked, but all are used by me. I have a Drop Box account. A portable Windows computer and and iPad. Will one license.

1. Will one license permit me to use this application on all of the Windows computers?

2. If all of the computers use this system, will the data documents have to appear on each computer, or can one computer function as a server?

3. Is there a way to use the application via drop box or some other facility so as to make the data available remotely to my portable computer or to any other computer that I can log on to?

4. Is there a way to make the search and display functionality available to a iPad. To put it another way, is the program capable of producing an index that is readable by an iPad and that can be used to summon a document to an iPad?

5. Can you give us some idea the disk space used by the program? For example, if I have 10,000 pdfs that average 2 meg in size, that would be 20 gig. If I put all of that through your system, how much disk space will your system require over an above the original pdfs?

6. Does the program permit word and phrase searches across the entire database?

7. When a document is pulled up, can it be highlighted etc using pdf X tools or must the document be displayed directly by acrobat to do that?

8. One of the issues with Adobe Acrobat involves the differences between the graphic appearance of a document and the OCR text that links to the graphic but is not actually visible. So, the graphic word may be "visible" but the OCR background may have it stored as "vitible". The result is that a search for "visible" will not turn up that instance. Acrobat has recently introduced a tedious method to correct OCR errors. My question is: a) Does your program suffer from the same limitations in this regard as Acrobat? b) Is it possible to correct (using the Adobe tedious method or otherwise) via your program or must there still be a direct open via Acrobat?

9. Acrobat has a method of reducing file size, while apparently not adversely affecting the quality of a document. Similarly, if a file is marked up after being introduced to your system, will it have to thereafter be reintroduced to your system?

Wow, quite an extensive list of questions! All of them are good questions and I'll try to answer them as best I can.

1. Will one license permit me to use this application on all of the Windows computers?

A: Yes, as long as you own and use the computers you can install the application on each of your computers. After all, it's essential that you're able to access the data that you store within your databases.

2. If all of the computers use this system, will the data documents have to appear on each computer, or can one computer function as a server?

A: If you set up a network shared folder and create a mapped folder to the shared folder on each of your computers - you will be able to open the database from any of the other computers without a problem.

3. Is there a way to use the application via drop box or some other facility so as to make the data available remotely to my portable computer or to any other computer that I can log on to?

A: I'm not all that familiar with Drop Box, so this would be something to attempt to verify whether or not that will work. Sorrry :) Naturally if you are able to download the database to a folder you can open it normally of course and you can store the database on a USB drive and carry them with you if desired.

4. Is there a way to make the search and display functionality available to a iPad. To put it another way, is the program capable of producing an index that is readable by an iPad and that can be used to summon a document to an iPad?

A: Unfortunately no. The iPad does not have a compatible OS nor does it have the CPU power to operate applications as powerful as MDD 2011. In addition, it's unlikely that there'd be sufficient drive space on your iPad to handle the size of the databases that you refrer to. We may develop a version that will work on a Tablet PC in the future however... but the iPad, etc simply do not have this kind of power.

5. Can you give us some idea the disk space used by the program? For example, if I have 10,000 pdfs that average 2 meg in size, that would be 20 gig. If I put all of that through your system, how much disk space will your system require over an above the original pdfs?

A: Regarding Disk space + overhead, it depends on the amount of text contained within the PDF's and other documents you insert into MDD 2011. When you drag n drop PDF's, MS Word documents, Text files, etc into MDD 2011 - the documents are parsed, the text is extracted and then saved within a data table enabling you to search for and locate documents containing key words. The size of the textual content can vary accordingly but again is relatively minimal in most cases in comparison to the binary file itself.

There is a marginal amount of overhead related to the document keys and relationships of course but this is very minimal - perhaps a few KB per document.

We would not recommend that you push all 20 gig of files into one database. Use the ability of MDD 2011 to create multiple databases to better organize your files.

MDD 2011 would of course produce the 20 gig file, but then you will have long waits performing a backup.

It's really not recommended. We did have one client who created a database and pushed over 17,000 documents into it - that really suprised us! It is essential however to remember that this is a "Document Manager" and not a Backup Utility!

6. Does the program permit word and phrase searches across the entire database?

A: Yes. In addition you can create "Document Tags" for each file. For example, graphics files don't contain text as such - so we've provided the ability to add "Key Words" and / or "Document Tags" to enable you to locate files of this nature.

7. When a document is pulled up, can it be highlighted etc using pdf X tools or must the document be displayed directly by acrobat to do that?

A: You can open a PDF in a couple of ways. One method is to use the (view only) Document Viewer. The other way is to select the file within the Document Grid and perform a right-click "Open Selected File(s)" menu option. When you use this method the PDF will be opened by your default PDF Viewer. If you plan on editing/annotating a PDF or other file (Such as a MS Word document) we recommend that you turn on "Version Control" immediately after creating the database and before dragging files into it..

We recommend that immediately after creating a database that you turn Version Control on if you anticipate making changes to the documents and want the ability to revert to earlier versions of the document(s).

If version control is turned on, then when you perform a right-click "Open Selected File(s)" and make and save your changes what will happen is upon closing the document, MDD 2011 will detect that you have made changes to the file and prompt you to create an archive of the original document before it overwites the original document with the changed document.

This feature is especially helpful when dealing with spreadsheets and other documents that change over time.

A: Our PDF parser is pretty robust and more accurate than OCR methods. I would say that it would find 'vitible' if that text was contained within the PDF.

9. Acrobat has a method of reducing file size, while apparently not adversely affecting the quality of a document. If file size is reduced after a document is introduced to your system, must the file then be reintroduced to your system? Similarly, if a file is marked up after being introduced to your system, will it have to thereafter be reintroduced to your system?

A: Please refer to the Version Control comments mentioned with regard to question 7. Hence, if you have the PDF in the database with version control turned on and then you perform a right-click "Open Selected File(s)" on the PDF - and Adobe reduces the size of the file - Version control will detect this change and prompt you to either archive the original prior to the altered PDF being stored or you can elect to simply update the original with the altered PDF. The PDF is then 'automatically' reintroduced into the system.

If you extract a document and make changes (outside of the system e.g., you did not perform a right-click "Open Selected File(s)" on the document then because you altered it 'outside' of the system the change would not be automatically detected of course and you'd have to perform a drag n drop again.

10. Do you have an existing bug or problem listing that we can see. Taking a large batch of documents and putting them through a system can be time consuming. It would be helpful, in advance, to know what some of the open issues are?

A: At this time, we have no un-actioned bugs. We haven't had any bugs reported for quite some time now. Should you encounter a bug however you can let us know and we'll fix it and push out a new build - typically within 24 hours.

We hope this answers your questions but should you require clarification do not hesitate to ask!

HJ B @martin hamilton

Thank you for your excellent response, except I need clarification on the following:

1. Your system appears to do OCR using some engine other than Acrobat. All OCR engines make errors, if for no other reason than that the originals sometimes have poorly defined text. Does your system have a way for the user to "see" your OCR product and make corrections to it? Until recently, Adobe did not provide any real capability in that regard, and the version X capability is tedious. We may spend a good deal of time correcting the Adobe version, but, as I understand you, your product does its own OCR, regardless of what OCR has been done using Adobe. So, that offers the possibility that some of the same or similar errors may be introduced by your product. I am not saying this will be the case; I am just trying to get at the ability for the user to catch and correct such errors.

2. From what you have said, my impression is that if I start out with 20 gig of pdf data (overwhelmingly text), your system will create a database that, amongst other things, will duplicate and index that data. So, I will need another 20 gig of space. Is that correct?

3. In the product description and in a part of your response, a reference is made to "keywords". In another part of your response, you refer to full text search. Can you describe how keywords are derived?

4. If a search for a word or phrase and a document is produced, am I brought to the location(s) of the word or phrase, or am I just directed to the document as a whole, as to which I must then do a further search to get to the place of the searched word(s) or phrase(s)?

Thank you.

Actually, we do not use OCR. My Digitial Documents 2011 uses powerful parsers to read and extract the exact text from the documents thus avoiding the OCR errors that you mention.

Regarding the drive space concerns it's important to realize that the text that is extracted and stored is not of that same size as the PDF itself.

The best way to see this is to create a new database (blank) and note the size of the database. Then drag n drop one PDF file into it. Note the size of the PDF... then compare it to the overall size of the database after the import.

So for example a new blank database has a size of 1024kb.
I drag n drop a PDF with a size of 686kb into it.
1024 + 686 = 1710kb
The overall size of the database after the import is now 1760kb.
The variation is about 50kb.and represents the file structure and the text that was extracted from the PDF.

So as you can see, it's very efficient and importing a 20mb pdf will not generally cause the size of the database to double as a result. In fact, 50 / 686 = .07288% or less than 1% of the document size is the resulting overhead.

Why so small a variation? Because the text is stored in ASCII format and doesn't have the font properties and so forth that otherwise would add the overhead you express as a concern.

MDD 2011 is very effiecient in this way.

This is how the 'keywords' are derived... and actually it's not simply 'keywords' - it's the entire text of the document.

As for your other question, MDD 2011 does not take you to the location of the text within the document it simply points you to the document(s) having the text you search on. So in answer to question 4, then yes you would need to perform a second search within the document to locate the position of the text.

I think I've answered your questions but once again if you need clarification please do ask. You questions are very good ones and we appreciate the opportunity to answer/clarify any questions you may have.

Is it possible to create links to the documents stored in MDD11? If so, this would make an excellent trusted reference storage system for other project and task management software applications.

Answer: Yes that would be possible. It's a fully functional relational database but to do what you mention would mean that we'd either need to add the ability to export an XML file or a web page having the links using streaming for the export- and possibly a web service.

I'm not sure how many customers would actually implement this type of functionality however... so anyone out there that thinks they could benefit from this functionality should let us know by using the Contact Us form on the website.

Duane, In the mean-time if you need this type of functionality we'd be happy to perform some custom work for a small fee to implement it.

HJ B I took a folder containing 193 pdf documents, each between 150 and 225 pages, and totaling 709 megabytes.

I added it to My Digital Documents 2011. The program ground away for some time (a progress indicator would be helpful), and then told me it was finished. I searched for the phrase "apple pie". None of the documents related to food. The phrase was found in two documents - one on Globalization and the other on Progressivism. The search results appeared immediately. Impressive.

Using Adobe Acrobat Pro X, I did an index of the folder of documents. The indexing took a bit less time than did the indexing done by MDD 2011. I searched for "apple pie" The search results appeared immediately. It revealed that the phrase was in three documents. Two were the same as MDD found. The third document was entitled "The Reagen Revolution"

I did several additional searches, and the results sometimes were identitical, but not always. Thus, I searched for "Jefferson" and it produced MDD produced 22 documents, while Acrobat produced 23 documents AND 240 instances. MDD can not bring you to instances.

Conclusion:

1. Acrobat was more thorough - found documents not found by MDD.

2. Acrobat brought me to the each instance within each document. MDD only brings you to the document.

3. MDD created a file that is 718 megabytes - essentially it doubled the disk space if I continued to retain my original pdfs (which I certainly would). Adobe created an index of 57 megabytes.

4. Since I have Acrobat PRO X, I do not see any point in using MDD - however, for someone who does not want to purchase the Acrobat application, MDD may well be a good investment.

Issue - What if your documents are not PDFs? For me that is not an issue. Anything that can be printed can be turned into a pdf.

In addition, documents of like category can be grouped together into one pdf document or into a pdf portfolio or folder. That particular document or portfolio or folder can be indexed by Acrobate. In addition, you can search across multiple indexes. In short, you can index terabytes of data and thereafter get instant results showing each instance in each document.

I have no interest in Adobe, other than owning Acrobat. I am critical of the limited ability of Acrobat to permit the user to correct OCR errors. Production of such a correction mechanism would be a boon for some 3rd party. .

As far as I can see, MDD 2011 does not permit any checking of the index, It creates one huge file (718 meg in this instance) that includes the documents and the index.

Thank you for the observtions! We believe our next version will be even more powerful than this version and will attempt a replication of your findings as a means of improving accuracy!

And you're right - Adobe (other than the free reader) can be very expensive.

It also sounds like you have a mighty and extensive library of PDF's! We intend to improve the search capability to allow for such things as 'locate a document having the phrase 'to be' and the work 'not'. In other words a more powerful 'full text search' capability.

This much more powerful version is aimed at power users and corporate needs that may be more suitable for your particular requirements.

Ed Ward Hi - had some basic questions, would be helpful if you had more complete description on your site or help file.

I've just downloaded and installed trial version; opened program; no feedback, just an opening screen; is that the way it is supposed to work? Some indication of what the program is doing would be helpful. In any event, I'll keep it open for a while... is it parsing documents? In all folders? I would assume MDD would first allow me to select the folder I wish to include. If it is parsing documents, how long does initial parsing take?

My questions are as follows:
1. How does the tagging feature work? Must tags be entered "fre form," or can they be selected from a pull down list (better).
2. When files are found using, say, keyword search, can the list of files be output to, say, a .txt file?
3. Can boolean searches be performed w/ keywords or tags?
4. Are tags and keywords the same thing?

Preston Mitchell To Developer -- Pity You Did Not Extend Offer for Another Day

Your offer was timely in my case. I am using the trial version of your competitor Ultra Recall with a view toward purchasing it. So, MDD presented an interesting alternative. BUT, I came to your party a little late and only installed the trial version about 2 hours ago.

Unfortunately, I have not quite figured out how your software works. Consequently, I did not hit the 'buy' button.

Pity, really...because I would have liked to discover which software--Ultra Recall or MD--was the best. Since MDD now costs $100 and UR is $50, I will never learn whether MDD was the better choice.

Due to the nature of your software, your offer should have been extended for another 24 hours. Extensions happen fairly often on Bits for cases like MDD.

We'll have a look at integrating Nuance PDF into MDD 2011.

There are differences between all Document Managers and MDD 2011 has a large number of features that the product that you mention does not have... and vice versa.

Unlimited databases, powerful parsing and so forth. Each consumer must decide for themselves as to which product best suits their needs.

We're continually improving MDD 2011 in ways similar to and different from other Document Managers and trust that our next version will be even better.

Support Preston,

Thank you for your serious undertaking to evaluate both products. We appreciate the time that you took to perform the evaluation and to write a review that is both critical of some aspects of MDD 2011 while supporting those aspects that you do like!

We're a little concerned however at your report that MDD 2011 is not working with your scanner and need to get that addressed.

Would you mind sending us an email from our Contact Us form located at: http://www.mydigitalapps....tactUs.asp

You asked what features we have that the other product does not have and to be honest we've never evaluated the product you mentioned - so we can't provide a complete list as such for you.

However we can mention a few things that MDD 2011 does have that the other product may not have.

For example, MDD 2011 has version control. To test this - make sure that version control is turned on.

Next open notepad add some text, save it and drag n drop it into an MDD folder.

Next, locate the notepad file and perform a right-click "Open Selected File(s)" on the grid row containing the text document.

Alter the notepad file by adding or removing text, save the notepad file and then close notepad.

MDD 2011 will detect that the file has changed and prompt you whether or not you want to update the file within MDD 2011.

If you say yes (do so for this experiment) the original file will be archived and the updated file will become the primary.

This version control feature works with spreadsheets, Word documents, etc and is very beneficial for people who modify office and other documents regularly and want the ability to revert to a previous version should they need to.

Since MDD 2011 allows one to open the files dragged into it within the Native application (Word, Visio, Excel, etc) we did not attempt to create built-in browsers for the tons of Native applications that exist. Granted - your comment that some built-in viewers would be beneficial is noted.

I've also mentioned the ability to create unlimited databases - I'm not sure if the other product allows this or if everything goes into one huge database. Like I said we'll have to check it out.

In any event, we'd like to get the scanner issue sorted out for you so if you wouldn't mind sending us an email using the Contact Us form - we'll get that dealt with.

Thank you once again for your comments and genuine sincerity.

Preston Mitchell Martin -- Thank You...and Some Salient Thoughts

I appreciate your thoughtful reply. May a marketing consultant for ecommerce vendors, especially software developers, share some thoughts? (My 'casual' impromptu personal style, as reflected in comments above, is not indicative of my professional copywrite.)

DataObjix was very wise and timely in choosing its particular category of software. Unlike many software categories, such as photo editing, there really isn't any software offering a 'total' solution for the creation and management of PERSONAL databases. And there is definitely a substantial need for software offering an effective personal database designed for the home user and small business (1 to 5 employees).

The version 1 series of MDD is absolutely on the right track...but MDD does fall short of the mark in several key areas and ways. Also, I wonder if DataObjix truly understands the nature of its particular market: your reply above suggests not!

I, myself, have been desperate for a personal database that doesn't employ one of the two mainstay 'database' methodologies, as represented by Access and PaperPort. For that reason, I will trouble myself to post a few more comments that will hopefully serve your company's best interests.

Ed Ward Developer - pls advise if I've missed something.

For anyone wishing to search the contents of files, this program does not appear to offer anything more than a very simple search capability.

This program may be useful to some, but the documentation provided by the developer is so limited it's difficult to evaluate. That's surprising, since the developer is also in the business of developing websites.

In any event, I downloaded, installed and tried it out. I have a large # of files, and would like to find a program that allows me to search the contents in an efficient way. The Search function - again, not described - appears to simply search (somewhere) for the presence of the search term. MDD doesn't appear to allow one to search, for example, in the title of the document; the body; etc. Nor does it allow one to do anything more than simple searches (e.g., no "and" "or" etc.).

Frustrating when an program offered on BDJ does not adequately describe its features - wastes time for readers and opportunities for the developer.

Thomas Duntze Hello Martin and DataObjx-team,
just read through many (not all) older comments and I am quite intrigued trying out your product. A few questions, if you please:
1. Is there - or will there be - localized versions, p.e. German, French etc.?
2. Is it possible to use the OCR-engine featured in MS Office 2007, as there is a way to integrate and use it with Office 2010, too.
3. Could you explain (again??) the structure of the database. Does it include references to the documents only or the documents themselves. How big will it get after adding, say, 100 docx, 100 pdf, 50 tiff with standard file sizes.
If parts of these questions are answered on your website, just send me there.

These are really great questions and I'll briefly atttempt to answer each one.

1) localized versions: This is something we've intended to do for a long time and intend to do in a future release.
2) While we could implement the OCR feature built directly into Office - not all of our customers use Office and this could present a problem for those who use Open Office for example. We're currently looking into a pure .NET OCR option that would suit everyone regardless of their preferred Office Suite.
3) The database structure. The database when empty is pretty small - 2kb or so. When adding a file (any file) the file is stored in the database in its native format and the database size will increase by the size of the file accordingly. If the file is one of the types parsed by the powerful parsers (PDF, Doc, Docx, Txt, Rtf, MHT, HTML, etc) then the text is extracted and stored in a separate field to enable search/find capabilities and will add a small additional size increase to the database. The best thing you can do is try this out for yourself when evaluating the product.
For example, if you add 10 image files of 100k each - the size will increase 1000k plus a small amount for the file names, database pointers and so forth... not much. Whereas if you add 10 Docx files of 100k each the database may increase by 1500k. The files themselves (1000k) and the parsed text plus the database pointers and so forth.
We use a very lean engine in MDD 2012 to maintain speed and efficiency and we're proud of the power and intuitive nature of the application.

Hopefully I've answered your questions to your satisfaction and you're encouraged to check out the website to get a good understanding of all of the features that are built into the package.

I just want to clarify point #1. By this we mean that the buttons, etc would be in the language of choice... naturally, you can add documents containing German or French or Spanish to the database and they'll be parsed just as they would be in English. The database does use Globalization - so if your computer is set to German, your dates and so forth are in the format used by the country setting of your computer.

Thomas Duntze Perfect answers. Thank you very much.
And you are right, the MS OCR engine is somewhat tricky and requires MS Office 2007 or a workaround in O2010.
Last question: Are there means of restoring or repairing your database? You are never safe from dataloss due to corrupt media or crashes.

MDD 2012 contains a database backup feature intended to enable you to avoid data loss. If you locate the "Backup your Databases using the built-in backup capability." hyperlink on our homepage, you'll be able to get a considerable amount of information about this topic... as well as others.

You should also check out the "Support -- Documentation" area as well for a more finite discussion of the controls and functions of MDD 2012.

We've tried to think of everything, but if you have a question or questions it may indicate something we haven't addressed on the website and will be happy to both answer your question(s) and update the website accordingly.

MDD 2012 does not use OCR (yet, but likely soon) - what we do use is powerful parser routines that extract the EXACT text from PDFs, Doc, Docx, MHT, HTML, RTF, Txt, email and other supported files.

So, when you drag n drop a supported file type into MDD 2012 - the EXACT text is captured.

Can I ask 'how many documents' in this digital age you actually need to scan using OCR vs Drag n Drop?

2%, 5%?

We find that the vast majority of our customers need OCR only about 4.3% (average from polls) of the time since everything can be acquired in a digital format already... and the primary feed-back is that OCR needs a lot of correcting to be accurate - which appears to be the nature of your question.

That's why we use powerful parsers - so you can focus on organizing your documents rather than correcting OCR errors!

Each individual must ask themselves this question. If you intend to scan a ton of documents (hope you have a very high speed scanner) MDD may not be for you - but if you ask only because you're thinking OCR is the be all and end all... then think again - OCR is Inaccurate - period -and ask yourself that question.

Only 4.3% of our customer request OCR capability after using MDD over a short period of time and find that our accurate parsers beat OCR attempts (with 3rd party software) every time!

Since the interface is rather intuitive, you only need to access this information should you wish to understand more.

There's a lot of things that one can do with MDD 2012 - and it's not easy to explain everything in a few sentences on this forum - so we encourage you to explore the links located on our homepage and "Support -- Documentation" area... which is pretty comprehensive.

Support We'd encourage everyone who has already downloaded the trial verstion to install our new build from (http://www.mydigitalapps....ntsMDD.asp) as we've updated a few things that enhance the interface.

Anyone downloading the trial version for the first time after this post was made will automatically receive the update.

For example, before this build when attempting a drag n drop of an email onto the files grid (as opposed to the email grid), a message box was displayed informing the user that they needed to be on the email tab to perform this action - now, the application seamlessly performs the action if the user attempts to drag n drop an email onto the files grid.

These are minor (but productive) interface changes that some may have otherwise found to be annoying... but, that's why there are software updates, right?

I apologize if I missed these two items in the documentation:
1. Is it possible to create links to individual files in a database? (Can the links be accessed form outside the database as well as from one file to another within the database?)
2. Can you create virtual copies of a file that can be inserted in various categories within a database to maintain a reference system as opposed to saving multiple copies of a file that would need to be individually updated?

Q1) I'm not sure I understand the first question... you're not referring to Document Tagging by any chance are you? If you haven't tried to use that feature - try it out - here's how it works (http://www.mydigitalapps....20Tags.asp) and see if that's what you're after. If it's not, perhaps you could word the question slightly differently (perhaps an example?)...

Also, I'm not sure what you mean by 'Can the links be accessed from outside the database'. All files are encapsulated within a database. One customer did say that they had switched over to MDD because they thought their previous Document Manager used a database but discovered that it actually maintained the files on their hard drive and the interface simply managed 'pointers' to the files... we of course store the files within databases... so I don't think there'd be a way to access the files from 'outside' of the database.

Q2) Virtual Copies of a File... good concept but this is not something currently implemented. I would need to discuss this concept with the crew but off-hand I'd say it's something that could in fact be done. No one has ever requested this type of thing, that's all.

I'm thinking that I've answered the questions but if not follow up with another post and I'll try again... you may neeed to provide an example of a scenario.

ddalian Martin,
Sorry if I wasn't clear.
If I have a document that has one or more supporting documents related to it in another category within the database or another MDD database, can I embed a hyperlink in the first document that would open the related document without searching for it with tags? I guess this is usually referred to as cross linking.

Colin McAllister Hi.
Are document tags written into the document itself, or are they locked to the database?

I have tried many tagging programs (and wasted many hours tagging files) but if the program doesn't write tags into the document(s) the tags are useless if I move those files to my laptop or any other pc.

That doesn't make sense at a number of levels. Why on earth would you want a 3rd party application altering your original documents - documents important enough to be stored safely in a database - to be 'altered' with tagging information? Not to mention that by 'writing' tags to a file would probably result in a CRC error thus rendering the file useless.

Maybe you can provide a scenario or better explanation.

Sue James For some reason BDJ seems to have lost my question while it was still waiting for moderation - at least I think so. :)

I want to ask, if I have understood you correctly whether I would need approximately the same amount of free space available on the drive as the space being taken p now by documents and images I want to add to My Digital Documents? In other words if I have, say 150GB of files, I will need about 150GB of space available to build and hold the MDD datbase? Is that right?
Jun 23 2012 at 5:22am Copy Link
0
Support @Sue

Yes, that would be the case. MDD does not delete the documents it inserts into the database... that action is left up to you. In other words, you probably wouldn't be impressed if MDD messed around with your files (like deleting them after the import) as that is an action only the owner (you) should be allowed to make.

Here's something to consider. While the database probably will accommodate this size/capacity you mention, we really wouldn't recommend that you attempt shoving 150GB of files into one database.

Take advantage of the fact that MDD allows you to create as many databases as you require. And realize that the purpose of a document manager is to enable you to better organize your files... it sounds like you are confusing a Document Manager with a Backup Solution - which MDD is not.

Hopefully this clarifies the difference between a backup solution and a Document Manager.

If your low on drive space, what you could do is - this;

Let's say you have 20mb of Pet Photos.
You could create a database Called PetPhotos and upload the 20mb of images.

Then delete the 20mb of pet photos to regain your hard-drive space.

Sue James Thank you Martin - and no, I wasn't confusing it with a backup solution, but was interested in having a searchable database of all my personal and business documents as well as photos. And it makes sense to have one program that can do all of this and use a powerful string or tag search function to bring up a list of all the documents and files that are related to each other or to a particular topic etc.

But you are right - for such a large number of files it would no doubt be sensible to create separate databases for different purposes, as is suggested on your website. My main concern is space on my hard disk. If a file is relevant to more than one database, it means keeping two copies of it I assume.

If My Digital Documents stores copies of files in its own dattabase, then presumably the original files in their previous locations would need to be deleted to free up space on the disk.

Having said that,, I have one final question. Once files have been imported into My Digital Documents, and the doubles (originals) deleted to avoid doubling up, are the imported files accessible through other file managers or Windows Explorer as they were before, or are they only accessible through the My Digital Documents program?
Jun 23 2012 at 7:03am Copy Link

When you store a file within a database... the database becomes a 'container' that other file managers (including Windows Explorer) cannot 'see into'. So you would need to access the database via MDD 2012 in order to 'see' those files again.

I'm not sure if perhaps you've worked anywhere that uses Microsoft SQL Server or Oracle databases - perhaps Microsoft Access. The data within the database is accessable only with the proper software and permissions - and this is true for MDD 2012 as well.

This is true for virtually all serious document managers without exception.

So, the creation and organization of your databases is paramount.

I can also tell you about a technique we use.

Let's say we have 10 projects and a database for each one.

Those 10 projects share certain files that are used by all 10 projects.

We've created a SharedDB for all of the files that are shared by the 10 projects and the 10 project databases contain only the files unique to that given project.

In this way one can leverage the flexibility of MDD 2012s ability to create and use multiple databases.

As a result of our use of MDD in this fashion, we've allowed MDD to be opened as 'multiple instances'.

That means that you can Start one instance of MDD and open the Project 1 database and then Start another instance of MDD and open the SharedDB database simultaneously.

When one needs to modify a file or files - use the export function to export the files in their original/native format back to the hard-disk.

Make your changes (ensure version control is turned on) and then drag them back in to update the primary files and create the archived versions of the changed files.

I'm probably going overboard in my explanation but this is a technique we use and encourage others to use... especially if one is using it for work type document changes.

For example if you have a spreadsheet that you change often... you'd pull it into your MDD database.

When you want to modify it - you'd right-click - Open File on the spreadsheet. If version control is turned on - MDD watches that file for changes.

After updating your spreadsheet you'd save your changes and then close the spreadsheet.

At this stage MDD detects the changes to the file (it doesn't match the one you initially opened) and prompts you - asking if you'd like to save those changes.

If you say 'Yes', then MDD will archive the original file as Version 1.0 and then import the modified version as Version 1.1

This cannot be done with file managers - but can be done with Document Managers that incorporate Version Control as MDD does.

The reason why the database increases in size according to the size of the files dragged into it is because we do not alter the file in any way - e.g., no compression is used. This is because we don't feel that 'we' have the right to mess with or alter the file in any way.

If for example you wanted the size of the database to be smaller, then you could of course use your own compression software like WinZip for example and Zip up the files and then drag in the zip file yourself.

Sorry to get so 'wordy'... but not everyone evaluating the product actually has time to read everything about the product - and there are a lot of features in this package and we don't expect everyone to read 'everything' about it - at least not initially.

Please do not hesitate to post another question if you have one. It benefits both you and others as well and we're happy to provide an explanation of the features and use of this powerful product.

One other technique you can use is cloning.

Make sure you read this page (http://www.mydigitalapps....loning.asp) because it provides information about an important technique for more rapidly sorting our your files into multiple database.

Here's an excerpt:

"Let’s face it, we’re not always as organized as we’d like to be.

If the document database you’re using is starting to get out of control (For example it contains a mixture of categories that you’d like to split out into separate databases) you can create a clone of the current database and then delete all of the categories that you don’t want in the cloned database.

For Example:

You have a document database with 20 categories and you want to organize yourself better by creating a cloned database that you want to contain only 8 of the 20 categories.

Create a clone of the database and delete the 12 categories that you don’t want in the new document database."

John Wall I tried MDD yesterday and I must say MDD is a very unique software. I could not find other digital document management software that are doing better than MDD. They are either too expensive or are lack of useful features.

I use MDD for my personal programming projects. My favorite feature of MDD is the version control. This is very very useful for personal or small-scale software development.

However, I can see there is still room for improvement:
1. Enhance the document viewer: currently it can only view text files. It would be good to be able to preview other file types like pdf, doc and source files like *.cpp and *.h(syntax highlighting would be even better).
2. I am a little suprised the file parser only parses text files with extention name ".txt". In my case, MDD does not parse cpp, h files or any other plain text files with extention other than .txt.

If these improvement can be made, I will definitely purchase this piece of software.

Sue James Hi Martin

Please don't apologise for the length of your reply - the comprehensive explanation and additional tips were great - and also helped me make the decision to purchase your software. :)

I do understand how CMS and Document Managers work, though I also admit to some nervousness about having any proprietary program being the only way to access or read my files.

But of course I realise that, if I want to be super cautious, I can also simply back up the original files as 'raw data' to an external drive I use for backups before deleting them from my main hard drive.

My Digital Documents is now installed, and I look forward to the time when I've done the work needed to get my files into it. I'm sure it will indeed save me a great deal of time and help me be more efficient and productive. Always a Good Thing when running a business! :)
