What are people saying about MessageExport add-in for Outlook

R Wood It may not look as cute, but ABC Amber Outlook Converter from Process Text Group (http://www.processtext.com/abcoutlk.html) has performed these functions for me for years. Priced at $19.95 (or less in a bundle) it is a super deal.

D. Leno While ABC Amber is a good utility, it is fundamentally different that MessageExport, which is an add-in for Microsoft Outlook that expands Outlook's export capability.

MessageExport makes it easy to accomplish a variety of tasks in a single operation that helps save valuable time for project-based workers. If it is necessary to repeat these tasks then they can be saved into a "export profile" that can be applied over and over to selected messages. An export profile can be called anything: it can allude to the functionality (such as 'Copy to PDF'), or it might allude to a specific project or client (such as "Project 827").

A MessageExport profile can contain a number of optional instructions, such as exporting the messages to an image format (like PDF), copying the messages to a specific disk location or Microsoft Sharepoint library, adding the messages to a zip file, password protecting the files, renaming the files on fly according to an advanced scheme, etc.

All this can be done quickly, with just a couple of clicks; just select the messages in Outlook you want to export, select your "export profile" and click the start button. The selected messages will then be formatted the way you want, named according to your requirements, copied into the folder or library where they need to go, etc.

Darren L. Hi everyone,
Samual: MessageExport can extract and copy any email file attachments. One feature request we get alot (and are working on) is the ability to print attachments. It will not presently do that.

Roberta: Yes, it will work with Windows 7. We have not tested against Whitesmoke or Dragon, so please try it before you buy if compatibility with those products is important to you.

Darren L. Hello Mel.

The A4 capability is not presently in MessageExport. We will add it in a future build. This function exists already in PstViewer Pro (www.pstviewer.com) which is a standalone viewer for .pst files. We intend to roll this capability over to MessageExpor later in 2011.

Lupke Brother @ Albert C.

You are right Albert. I have mixed feelings about this company too. Bought their BDJ offer PDF postman product in may this year. I had a lot of problems with this tool. But I must say, their support team responded very quick to me. Unfortunately they still did not solve the problem. So, sometimes just one of 3 functions work for me and sometimes 2 functions work for me. God only knows why :-) I had problems with the update system. I allso had to call them to reset my license, because after updating the product stopped working. The last update went OK, but still it is not working full. A funny thing is, last august I received two license codes for pdf postman, because their system said I had bought two extra licenses. No I did not, so now I have three licenses, 1 bought, two for free. But, yeah, the product off course does not work ;-) Some other problems I had some MAJOR crashes of outlook 2010 caused by pdf postman. No problems when the plugin is disabled. I know of people who had their outlook slowd down by it very much.

So I can disagree with you about their response and support. To me it is good, but I have just given it up on them. I think they are serious but have problems they can't solve. At this point I give them the benefit of the doubt. At other points not. They have interesting products, and I would like to buy them. Maybe in the future! Don't be too harsh on them, but test properly before buying on of their products. I might work.... or not ;-)

I know this is a bit off topic. Just posting my concerns. You can move it to the forum board if you like.

Lupke, thanks for your comment. You're right that we misfired on deploying our new activation system for PDF Postman version 1.0. Its since been resolved and free updates were sent to all customers. It was a PITA though, I agree with you. We now have thousands of customers for that product, some running hundreds of users.

Look, we've been around since 2005, and am a real person with a real reputation. Google me. We try very hard to please its customers, much hard than most, and have helped tens of thousands of people. Gerard Booth @Albert C
Thats a rather harsh statement to make, simply because you had a problem contacting support. As for software activation, I hate it, but fully understand developers have to protect their products. If everyone was honest, there would be no need for activation.

I for one will be buying a licence for MessageExport when the offer is available. I have installed the trial and it is excellent software, exactly what I was looking for and works flawlessly.

I also bought Pdf Postman when it was on offer, again works flawlessly and no problems with activation or with the developer.

Darren L. We always provide a full 30 day money back guarantee. For BDJ customers, I will extend that policy to 1 full year. If you are even a tiny bit unhappy with MessageExport in 2012, contact support for a full refund of the software.

@Lupke, if there are any problems, you can easily send a trace log to the support team. Just go to "HelpSend Log to Support" and someone will analyze it and get back to you in a few days. This will help us understand what is going on in your environment. If it's our fault (and sometimes it is), we will fix it.

@Gerard, thanks for your comments. We did have a problem with PDF Postman activation when that was first released. It was a nightmare and a learning experience for us. That criticism is valid, and we repent. We spent thousands $$ on a new IP protection scheme that we thought would be easier for customers, but we didn't get it right the first time. That learning was rolled into this release of MessageExport, and I am assured it will not happen again. I know it ticked people off. It ticked me off, too. No one could have been more angry about it than I was. Customers have my phone number, so I got an earful.

Thanks for the honest discussion. I appreciate the constructive criticism I get on BDJ and I share it internally. Every month I deal with giant IT departments at huge companies that are installing MessageExport on hundreds or thousands of computers, yet I never sweat as much as when we come to BDJ with a 70% discount.

Pavi J Hi, I am very interested in this.

Is it possible to run the add-in on a schedule, say weekly, to backup all email to MSG files in a folder?

And in that case, is it possible to not have duplication of existing messages (ie. takes only new messages since last backup)?

My tool now requires manual backup, and makes dups so I would really like to skip the extra steps.

Best, /Pavi

Rich Ackerson @Michael K: I was wondering the same thing but then I noticed their license policy states "MessageExport add-in for Outlook may not be used at the same time on multiple computers." so I assume the answer is no.

Darren L. Good day!

@Pavi
Using MessageExport for email backup:
OptionsSelect Profile (choose the profile you want to run) EditSchedule (enable and set the time here)
Then go to the Common tab and “turn on export history.” This will prevent exporting an email multiple times.

@Michael
Attachments are handled in a variety of ways. You can embed the attachments as files within the pdf that can be extracted later; you can extract them to a folder; or you can convert many common file attachment types into the PDF image such as Word, Powerpoint, Excel, (requires Office 2007 sp2 or later), jpg, gif, tif, text, etc). If its unable to convert the attachment then it will embed it as a file within the pdf.

Licensing is currently one computer at the moment. However, its easy to move your license. Just uninstall MessageExport and then you can reinstall it anywhere else. The key is reset when you uninstall and it can then be reused.

Darren L. Sorry, this comment I made was not very clear... "You can embed the attachments as files within the pdf that can be extracted later;"

What I meant was that file attachments may be included within the PDF as a separate file. You can extract these files from the pdf later. For example, if it is a .csv file, using your pdf viewer you can extract the csv file from the pdf to a folder for editing. This helps preserve the context for the email message and attachments, keeping it all together.

Michael K @ Darren

I notice from the conversation last time this was offered on Bits that you said you would be incorporating support for A$ European paper size Slater in 2011. As we are now fast approaching the end of the year, could you please let us know if support for this important paper size is now built in and if not, when it will be please.

@Rich & @ Darren With all due respect, I know folks are trying to be helpful when answering questions that have been addressed to the developer but in most cases those answers amount to speculation and interpretation and have little or no value.

Except in exceptional circumstances, I think it is generally best to let the developer answer questions that have been addressed to them. In this case I am aware of the policy of not allowing use "at the same" time" and that is not what I was asking.

Commonly, developers allow installation on both a laptop and a desktop with each being use intermittently. I had hoped that is allowed by this developer and I now see Darren has answered the point

Thanks

Darren L. Hi @Michael,
Since version 1.5 released in 2011, MessageExport has supported A$, B$ and many other paper sizes. You can even roll your own custom page size if you wish. A4 is the default size, but it can be changed. Later we will be setting the default based on the user’s local settings, but we just ran out to put that into this release, sorry.

To change paper size, go to MessageExportSettings, select a profile and click Edit Next to ‘Export Format’ click the gear button, and now you can change the format.

I asked earlier but I think the question may have been missed. Your website indicates a 25% discount with the purchase of MsgViewer Pro and MessageExport. If I purchase MessageExport here, is there a way to qualify for the 25% discount on MsgViewer Pro?
Dec 7 2011 at 9:52am Copy Link

Darren L. Hi Ron
There is a lot of crossover between these two products. Besides the obvious difference that one is an add-in for Outlook and the other is a desktop application, MessageExport as an integration to Symantec Enterprise Vault and Sharepoint. While Pstviewer Pro does a lot of similar things outside of Outlook, MessageExport is part of the Outlook experience.

We try to simplify the work of people to need to file/convert/copy email messages according to a process. One customer told me she's been able to replace two to three manual steps in her role of preparing email evidence, which makes her job easier.

I should mention that any of what we call the "export profiles (which are just those formats that you select from the drop down list) can be completely customized. For example, if you need to copy a message, convert it to GIF, give it a specific name, then put it into an encrypted zip file then move it to a specific place, you can configure all that inside one MessageExport profile. There are some very specific uses for MessageExport but people are surprising us all the time by doing things with it that we didn't think of originally.

1. What's changed since 2011? Got a release history?

2. Can you re-phrase your answer to the difference between this and PST VIewer Pro? The latter seems to have all the capabilities of MessageExport and more in a stand alone application. Yet the regular price of MessageExport is $20 more than PST Viewer Pro - implying that MessageExport has more capabilities - or that plugins are just more expensive.

David Davis am I able to extract several emails into a common PDF file? Say there was a thread of 20 emails on one topic that I want to keep as YA reference. Can I highlight those and export, or would I have to create an outlook dirctory, move them into that directory and export the directory?

Antonio Maradiaga Hello @ David Davis
MessageExport is capable of exporting all messages in a conversation if selected, you can move them to a single PDF file or to each email to its own PDF file. We encourage you to use the free trial from our site before purchasing.

bvssunnydale Hi, the blurb says this works with Outlook 2003/2007 but the site says it works with (what looks like) all versions of Outlook. If true the description should be updated.

Hourglass94 Is It possible to export messages with attachments to a single PDF?

By this I mean

i you have a folder with 50 messages and attachments.

ii you want to export those messages and attachments into a single PDF file rather than 50 single messages.

John Hood JH - Do we have to export to zip? Can you work a way to permit us to export messages to our Drive individually. That is, I use another program that lets me save a month's worth of messages into say June's Folder 30 days of maybe 200 messages listed individually. Makes for quicker searching and eyeball scanning rather than using zip. Hate zip - he has screwed that program up - and you may never know where the unzipped files end up. Oh for the old days. Plus he is making a fortune out of charging update fees.

Second, missing the statement here about version and whether there is an annual fee or a lifetime license use.

Darren L. Hi everyone,
We're glad to be back on BDJ. Thanks for checking us out.

Encryptomatic LLC is small software company based in Minnesota. Since 2005, we've worked hard to build products that help our customers manage their email and communicate securely. MessageExport is a product that was customer driven right from the start. One day I answered a phone call from an architect who needed a simple way to automatically convert Outlook emails to PDF and then copy that file to a shared drive. We built this product from that interaction, and since then it has expanded in capability and taken off.

We don't do promo's like this very often, but when we do it's on BDJ. Though today's offer price is far below our standard price, and though you're not our regular target market, we come to BDJ because of the valuable feedback we recieve from lots people in a short period of time. This feedback helps fill our kanban stack and drives our developers to innovate.

Thanks again, and if you have any questions just ask!

Antonio Maradiaga Hello @Peter User, The statement is part of BitsDuJour policy to make sure that you got a working key. You can install the software and use the activation key after the 15 days. You can also release the license key up to 5 times and transfer it to another machine.

Gary User I've been using message export for several years now. I use it to archive emails in pdf format but it offers many other format saving options as well. Attachments can be embedded, or converted, or saved to separate files, which makes it possible to preserve all of an email outside of Outlook. It also handles multiple emails and can combine them into one pdf or keep them separate. The options are almost endless because in addition to the included "profiles" for saving emails you can easily create your own profiles to suit your particular needs

You can probably achieve the same results going through several steps for each individual email, but for me that process would cost way more in my time than the full price I paid for the product. At $20 it is a true bargain.

PeterL I am very impressed with this software
the many options
the ease with which you can adjust profiles
the schedular to run profiles automatically

Question: When I export an e-mail with attachment embedded, how can I view the attachment when opening the PDF file. I can't find it in the document

Antonio Maradiaga Hello @Peter User,
Depending on your PDF viewer, it will have an attachment option, here it is with Adobe Acrobat pro https://www.screencast.co...oK2l7wUgLC
Just look for the attachment icon on your viewer. Thank you for sharing your feedback.

Carlo Great product, just tried it.
Would be nice if one could hide header-fields like "Category" from being printed in the PDF.
Still buying. Thanks.

Antonio Maradiaga Hello @Carlo Caputo, there is one feature for each profile to include the mail headers, this applies to all fields on the headers https://www.screencast.com/t/jM9vXq0cdT give that a try. Unfortunately, there are no individual fields options for the headers.

Antonio Maradiaga Hello @Peter User, you can copy the profile properties and settings, but you will need to provide a different name for it, additionally, you can export your profiles to a local xml file as a backup https://www.screencast.com/t/fIBSBHDU

John Hood Your response that you do not cover Outlook 7 but do cover cover Win 7 is an oxymoron. I have all the essential ingredients i.e. memory, space, etc. It is sad that you do not support Outlook 7. Not going to be forced to go buy Outlook 10. There are a lot of people still hanging on and using 7 version stuff including Outlook 7 . Memory is not corrupt.

Nico Westerdale owner of BitsduJour - I want my purchase money returned to Paypal please.

Hayden Really like this software and looking forward to the next promotion. My main concern relates to the maximum 5 times the license may be released - does that mean that after the 5th time the license is released, then I will have to purchase a new license if I decide to upgrade to a new computer? If I may say so, if piracy is the concern, perhaps the policy could be changed to a maximum of 1 release every year? Capping the number of release at 5 times seems like too severe a restriction.
Dec 9 2019 at 3:37am Copy Link

Antonio Maradiaga Hello @Hayden, Thank you for your question. You are purchasing the mayor version. The purchase includes one year of support, maintenance, and upgrades from the day of purchase. After the first year, we offer an annual renewal for maintenance, support, and upgrades. The renewal cost is 25% of the retail price, not the promotional price.
If you decide not to renew, your registration code will continue to work with the corresponding version for it. The license code does not expire, what expires is the ability to upgrade to the latest version after the first year. You have up to 5 releases manually from the product to change devices, after the 5th time, you can contact our support team and we will gladly release it for you.
Thank you for your purchase.

Gary User I've been using message export for almost a decade. It is one of my most useful outlook addins. I use it to archive my emails into pdf's. Its ability to handle attachments is fantastic, you can save them separated from the message, or embed them with the converted message, or convert them then include them in the pdf with the message.

I also have PST Viewer Pro but seldom use it. It works fine, it just isn't a program I ended up using as much as I thought I would, but on the few occasions I have put it to use it worked just fine.

I mention it only to let others know that I have more familiarity with Encryptomatic than just their message export program. Solid company based on my experience with them.

Antonio Maradiaga Hi @david F,
Thank you for your comment. It is probably possible to use VBScripts to convert emails to PDF. However, MessageExport brings the ease of use interface and the additional formats to export your messages.
MessageExport offers over 20 profiles for the most common export formats. We invite you to use the trial to evaluate our product.
Thank you for your comment.

Gary User I have been using messageexport since 2013. Last year I bought a second license for a laptop. It is an excellent program with many options for saving and naming your export files. It will convert the text of the message and all attachments into one pdf file, or will save the attachments separately from the text. I am a lawyer and use it extensively to archive my clients' communications.
