1. Yes, the WinCatalog 2009 license includes a free upgrade to the upcoming WinCatalog 2010 when it will be released (we plan to release it this autumn).

2. You will be able to activate WinCatalog 2009 on any number of computers where you will work with the program. The activation process does not limit you in a number of computers where you can activate WinCatalog.

Furthermore, we plan to get rid of the activations at all since version 2010.

Wm Shore The (un-answered) question about whether tags/keywords can be used on photos os very important to me.. so I'm hoping for an answer. Currently I use the xcellent 'SuperCat' program for cataloging CDs/DVDs but it's only for that purpose. This might be useful for from-scratch catalogs..

Each item inside a catalog can be assigned with any number of keywords. Some keywords may be created automatically when you scan a disk (for example, WinCatalog creates keywords with Artist name on adding mp3 files).

Keywords has individual branch in the main tree view called My Keywords. If you select a keyword, you will see all linked items.

You can also search using keywords. Click Search meny item, then Search using Keywords (or simply press ctrl+F3 shortcut).

The reason why we're developing WinCatalog 2010 is an ability to store picture thumnails inside a catalog and an ability to attach thumbnails to any items (files, folders, disk records, etc).

So the answer is 'no' for the current version, but I will since version 2010.

Yes, each collection is a single file with .wcat extension. So you can create as many collection files as you want.

Frank Stephens Wow, what paranoia.  You can't afford $12?  Yes, on the website and when downloading it says that you get WinCatalog 2010 (when available) with your order (I can't speak for the previous BDJ offering).  I trust the developer, and even if they renege on the deal, I still have WinCatalog 2009 for $12.  This isn't a tough decision.

1) Most reviews mention only CDs& DVDs. Want to make sure it can be used on external HDDs, HP WHServer, NAS, etc

2) What wd be the support/interface necessary to catalog physical media (books, CDs), the vast majority of which are not in English. Where can I learn more abt how to do this, as I don't know «anything» at all

Michael Rusakow Hello Tortuga, yes, WinCatalog can scan any drive you can access from Windows environment, including network drive, hard drives and removable media. In other words, if you can see the drive in Windows Explorer, most probably you can catalog the drive with WinCatalog. "Most probably" because Windows Explorer shows some devices as drives (for example if you connect your digital camera) but these are not actually the drives.

To catalog physical media you may use Custom records. WinCatalog is not a book catalog, in general it is file catalog but it gives you an ability to catalog various staff like books, etc.

Using WinCatalog you can catalog your media in any language. WinCatalog 2012 fully supports Unicode, so it will show Japanese, Greek, Arabic, Hebrew, Chinese, Thai, Russian and every other language.

Ric Hi,
1. If one catalogs a local hard drive and an external drive, can this program identify if there are duplicates?
2. Can it tell if certain files exist on the hard drive but not on the external drive?
2. Does it take thumbnails of video files, too?
3. Does it extract any metadata?
4. I don't see any help files on your website. Is anything planned?
5. Is there a comparison of the light vs the standard version?
6. When one makes many changes to a drive (adding or deleting files) that has already been cataloged with your program, does one just "refresh" it or does the program have to re-catalog the entire drive from scratch?
7. Have any of the speed and crash issues mentioned by users on CNET been addressed?

Please let me know before I decide to buy.

1. You can find files from both drives by some search criteria then combine them by name, by size, etc to see the duplicated entries.
2. No, WinCatalog cannot tell you which files exist on drive A but not on drive B.
3. No, the current version does not grab thumbnails from videos.
4. WinCatalog grabs archive and ISO files contents, EXIF tags from pictures, ID3 tags from music files and comments from html pages and text files.

6. When you update (or "refresh) a drive, WinCatalog performs the whole re-scan to see what files were modified/added/deleted. After the refresh it adds new and remove deleted files. If the filename for a file has not been changed, WinCatalog will update other info (for example size or modification date) but will keep comments, tags and other info which you have entered manually for the file.
7. If you are talking about the critical user comment (3rd on the page) please note that it is dated by 2009 and it was about WinCatalog 2009 (version 2.8) not WinCatalog 2012 which is 3.x.

Ric I got a few more questions:

1. I download and installed the 30-day trial version. When I tried to run a report (so as to print or export it), there was no print or export button. Is this a restriction of the trial version?

2. I noticed that once you run a search there seems to be no way to stop/cancel it. That's inconvenient, especially if it ends up being a long search. Am I mistaken?

3. How do we perform and advanced search?

4. If WinCatalog is running and we are connected to a cataloged hard drive or disc, can we launch the file from within WinCatalog? If not, might this be possible in future versions?

Software Babe I also just purchased this software because I have tried it and the software is very good! Loved the price, too!

It does everything it says it will. I have a massive collection of e-books with more than 5 years worth. It cataloged them all in record time. IT WAS AMAZING to watch!!!!

The software also displays any photos, graphics, etc. that go with each item (folder), which my books were already cataloged by folder: Computer Technical, Electronics, Educational, etc.

I did not have to do anything else. Amazing! I was using Calibre, but now I am thinking that maybe this is better. However, I don't think it converts PDF to other formats like Calibre does, I am not sure.

IS THERE A CONVERSION TOOL IN THIS SOFTWARE?

Michael Rusakow @Joby Toss, thank you! Actually WinCatalog 2012 does not require any installation at all however it wasn't designed as a portable app and keeps all settings in the Windows registry. Version 4 will have an ability to store all settings (include a registration info) inside a local file to make WinCatalog portable.

The main purpose of WinCatalog is indexing all files, knowing where they are locating and giving the ability to access these files instantly or almost instantly.

That is why WinCatalog tries to grab as many info as it can, gives an ability to launch files from inside the program (and displays the popup with the disc info if the particular disc isn't inserted) but WinCatalog does not provide any conversion (or any other processing) tools for your files because such kind of functionality is the neighbouring and very specific for every user area.

Other features are like a bonus today but I'm considering for version 4 to add an ability to catalog, say, books and dvd movies by scaning and entering barcodes and downloading all info from the Internet (Amazon or other provider). 1. The printing functionality is implemented via Reports. First, you generate a report (HTML or CSV), then you open it in your Browswer or MS Excel or other app for viewing, modifying and printing.

2. When you click Search, the button changes it's caption to Stop. If you click Stop it will stop the search. Furthermore if WinCatalog is finding 1000 results it warns you and asks what to to next: stop the search and provide more exact query or continue the search.

3. To perform the advanced search you should first perform the regular search to get ALL results, then filter these results by clicking Filter results.

4. Yes, if you click Execute command on a file, WinCatalog will run the file from the disc. If the disc isn't connected to the computer, WinCatalog will show popup where it will say that the disc isn't accessible and ask you to insert it.

I saw that in the feature list you mention that "...Each item is associated with a set of keywords to increase the search relevancy". Where are these key words coming from?

Does it search in the text of the files (e.g. MS Word document, pdf) or just the names?

Michael Rusakow @Mihail Garchev, yes, WinCatalog has tags (in WinCatalog 2009 this feature was called Keywords, and now it was renamed to Tags). There are 2 ways to create tags. First, tags can be created automatically when WinCatalog scans the disc. For example it can create tags with Artists names grabbed from mp3 files. Secondly, you can create tags manually.

No, WinCatalog cannont index text in MS Word documents. The curent version of WinCatalog supports only text files and HTML pages.

Yes, if it is easy & possible to implement that kind of feature, it wd be tremendous. Our problem is, always has been, our books, CDs, etc are in 2-3 other languages (non-English), one can gather very little info via Amazon & such. So, maybe its way too much work for you, adding those features, for little results

Michael Rusakow Hello Louis, thank you for you question. WinCatalog can work with any disk which can be accessed from Windows Environment. In other words, if you can see the disk and the contents of the disk using Windows Explorer, that means that WinCatalog will catalog this disk without a problem.

So, answering your question, WinCatalog will catalog the entire Blu-Ray disk contents, but it may not detect the disk type correctly (for some drives it may show it as DVD). But this is not a problem because (a) you can always switch the disk type in the disk properties and (b) the disk type does not affect on cataloging, organizing and searching - WinCatalog just displays different icons for different disk types. Nothing else.

Jim B Regarding version and upgrade terms: "Upgrades to future versions of the software will be free up to the next major version and minor versions thereafter." This statement is ambiguous. Free "up to" the next major version could mean that upgrades are only free until the next major version is released. I presume this is still not V4? I had read that V4 was planned to allow portable usage, which would be valuable to me. If this is 3.x, will 4.0 be a free upgrade?

So, if you buy WinCatalog 3.x now, you will get the 4.0 upgrade and all the 4.x upgrades until version 5.

Michael Rusakow The creation of data importing tools was scheduled to the nearest future but I cannot promise you any exact date for that.

BTW, WinCatalog 2013 uses open data format (SQLite database) in the core. If you're familiar with MS Access, probably (especially if you have a programming skills) you will be able to populate the db with your records.

Michael Rusakow @Colin, thank you for your question! Yes you can keep your catalog up to date but WinCatalog does not monitor changes on your disks automatically. Every time you should force WinCatalog to re-scan a disk or a folder.

That is because a usual database (a catalog) contains from several hundreds to a few thousands of disks and most of them are read-only (like DVD-Rs).

You should not worry about re-scanning time. WinCatalog takes time to scan a disk for the first time. Every time when you click Update WinCatalog skips unmodified files (however this behavior can be switched off) and grabs info only from new and modified files, which is much more faster than an initial scanning.

@Paul, WinCatalog 2013 can export data into CSV and HTML formats. The export functionality is called Reports. Please click the Collection Management button (left from the Main tab of the Ribbon Toolbar) and then click Reports to access this functionality. Please note that on the Reports page you can configure all the columns you want to see in the report.

peter schleifer I very warmly recommend this fine program, and if you ever read what is = what I've written about it in outlinersoftware.com, read again, or better, start reading there from the last post, since I was deeply mistaken (but then corrected it there).

In fact, I have external hdd's, sticks, etc., and whilst the sticks can be connected anytime, there is a certain amount of WEAR, of wearing out hdd's, every time, if you just connect them in order to see what they contain.

Now I'm into "collecting things" (YT and such), and I'm much more into collecting than I'm into then looking at those clips again, which is a little bit weird for now, but do we know if some day, these things will not be available anymore on YT?

In the meanwhile, I often download (first to my internal hdd), and I rarely connect the external hdd.

So for such a "workflow" - the correct term would probably be "hobbyflow", but I have got another external hdd with lots of other stuff, and now that I know how good this fine program is... -, WinCatalog is absolutely brilliant, since I can easily look up previous downloads in its LIVE tree structure replicating the tree structure of the external hdd; the "live tree" aspect is what distinguishes this fine product from the whole bunch of "competitors" which all just download the current folder structure into a flat one on screen or on paper, with indentations or not, and that's neither beautiful nor functional when you've got thousands of files to submerge those you need to check for.

Now, you absolutely must go by the previous post, which is Michaels', i.e. the very last one in "previous comments", and where Michael makes an allusion for "Managing - File Items - Update".

I didn't find this command easily, but its' the one that will speed up updates of your folder structure (i.e. whenever you will have some new files added to it, from your inbox, or will have renamed or moved some files there), from 20 minutes or more (which is perfectly acceptable for FIRST reading of the structure into your WC db), down to a mere 20 sec or not even that.

So Michael is perfectly right by saying, "You should not worry about re-scanning time.", and which is one of the most important aspects of such a program.

And this is a brilliant, functional AND visually appealing program that I'll be happy to buy here very soon.

@peter schleifer, thank you for your comment. Just wanted to add that the update (i.e. re-scan) time depends on a number of files that have been changed or added since last update. WinCatalog skips all unmodified files, it parses and grabs the info only from new or changed files. That is why WinCatalog it is fast on update, but if you have a lot of new or modified files it may do the job more than 20 sec.

HarBri Tried to purchase WinCatalog this morning using PayPal but the ORDER button on final checkout isn't working. Every time I click it, the page refreshes and I am left on the same order page.

peter schleifer What's going on? My second commentary disappeared?! So I send it again, without the last part, in which I had recommended particular freeware in order to have WC loaded whenever Windows starts (and which might have the problem here?!):

"Michael's right again, I just wanted to express that for just a few new files, it's real, real fast. My original half an hour (always on a very old pc) was for more than 10,000 videos (and then less than 20 sec. for updating some 30 or so new ones); to give another real-life example, for reading FIRST time, yesterday I had it read (again on that old pc and with usb 2.0) 200,000 non-video files, .exe and such (backup of several sticks, etc.), but which also comprised about 70,000 pics (= thumbs to be created!), in less than 2 hours. For a FIRST read of that much, external stuff, that was a very satisfying time for me (all the more so since I would have acccepted if it had taken all night long, so it was a very pleasant surprise non-video files are read much, much faster than videos even).

Just to be sure, I opened both catalogs today, in order to check, and yes, everything was smooth, all those pic thumbs were there, no crash or other problem (in spite of a file size of about half a giga), and yes, you can select the columnns you want to have displayed.

An then, I described here just one of several possible scenarios to use this fine application. I seriously consider to have it loaded automatically on startup, everyday, it's that useful for me."

But thank you very much for this clarification. So, again, I recommend "Startup control panel" (free), by which then you can load WC (or any other such extremely useful tool) automatically when you start your computer (and you'll then see the icon in your Control window, where you'll also find all those other, native, Windows management tools).

Pim Joosten @peter schleifer: there are some weird things going on today on BDJ. Until just now, whenever I logged in I always got an BDJ error page whenever I clicked on a product on offer today or in the near future that I had not bought before. I could read the page of IsoBuster, a program that I have previously purchased. It seems to be solved at the moment. The weird thing is that if I was not logged in I could read those product's pages. But then when I wanted to post a message: you guessed it: BDJ error page. I hope it stays Ok and that I can now ask the vendor my question that I have been trying to ask for over an hour :-)

Answering your question: for each drive WinCatalog keeps two dates: when it has been initially added to the catalog and date of the latest update of the drive. If you open properties of any file or folder from the drive (or a drive root record itself) and then open the "Volume Info" tab, you will see the "Added and Updated" field near the bottom. The field displays that two dates. Unfortunately it is not possible to display these dates in the main grid at the moment (there is no such a column) but I will add a new feature request into our wishes list for future updates.

Michael Rusakow @Ela S., unfortunately WinCatalog cannot parse and grab meta data from ebook files like .fb2, .epub or others, so if your main goal is to categorize your virtual (electronic) and real (printed) library, it is better to find another software which was specially designed for such needs.

WinCatalog mostly is a file cataloguer, it may grab a lot of information about your files (archives, pictures, audio, video). It may scan the entire folder with your electronic books and add all files from the folder, but you will be needed to rename all files manually to give them meaningful names. There is a request in the wishes list to implement an ability to parse and grab meta data from ebooks, but at the moment I cannot promise when this feature will be released.

We advertise that WinCatalog can catalog non-file items as well, but this functionality is very simple - you add a record (Custom Item - purple pyramid icon) and manually populate it with any information you want. This functionality is a good addition to the file cataloguing functionality but cannot be considered as a main functionality. Using WinCatalog you can catalog printed books, but if you have ISBN numbers, there are a lot of software on market which can grab all info from Amazon for a given ISBN.

Faisal Humayun Sounded like a great concept. Downloaded the trial to index photos/videos on a 2 Tb backup drive. But the program would crash partially through the scanning process and lose all its progress.

Not sure if it'd be better to stagger backup folders instead of entire disk as a workaround. More work, and less than what's advertised if that's the way to go.

Every time you want to add a new drive (or update previously catalogued one) you should click a button. We have a couple of requests to develop such a feature, but at the moment we didn't plan it yet.

german user is there a limit of amount of files, size, ...? i take my camera everywhere i go and therefor have about 30000 photos from places all over the world. and the files are relative large (raw or 20mp).

Michael Rusakow @german user, there are no actual limits for WinCatalog 2015. WinCatalog uses SQLite database to store the data and keeps all the collection inside a single file. The theoretical limit is 18 terabytes per a collection file (per a database) however practically this limit cannot be reached. The maximum number of records (files and folders) is limited to 264 (2 to the power of 64) which is 18446744073709551616, but this limit is also unreachable because in that case the collection file should be greater than 18 terabytes.

So you can see that 30000 files is a relatively small amount. If your RAW photos are in one of the supported formats, WinCatalog will extract thumbnails for these files and basic Exif tags. This operation may take some time because the files are large, but WinCatalog should handle this job.

Charlotte Sinclaire I am intrigued by your software and have downloaded a trial (actually purchased it in 2009 but never used it). I have created a collection and scanned a drive and a folder, which is great. But now I'm trying to figure out the advantage of having done so. How is this different from using Windows Explorer? What can I get from this software that is better than turning on Details in a window? I'm not being sarcastic! I truly want to understand. So far, I can look at the folders and see what's inside, but I can do that in Windows Explorer. I guess I just am not seeing the advantage, yet, so perhaps don't understand the full purpose of the program? I hope you can explain, as I might be interested if I can see the advantage. Thanks.

Yes, Explorer shows the details of what you hv on the PC at the moment.
But, as I understand it, the point is to hv a catalog of 'stuff' you possess, but are *not* plugged in.
So for example, you hv different HDDs or DVDs w photos, movies, music, data, bkups,etc Instead of plugging every HDD & DVD to search for what you are looking for, you'll know where it is. Hence, catalog
Sometimes you loan a DVD or left a HDD at work or a bkup in a safe at your parents. But you'll know what data is where :)
Special nowadays w the huge size of HDDs & the amount of gigs we hoard, this little app is very helpful
Softpedia has several in-depth reviews that explains it better than I can

I ran a disk scan and a folder scan, but how to break it down so I can find, for example, only .jpgs or only .pdfs, or some other "item" in a catalog-like set-up ... doesn't quite gel in my mind. I will try to look up the info you mentioned, but hope the developer will also answer here. Else the time will run out for me to buy the full product via Bits du Jour.

Michael Rusakow @Charlotte Sinclaire, Tortuga explained the main purpose of WinCatalog well (@Tortuga, thank you!), WinCatalog gives an ability to find files even if the drive is not connected to the computer.

First, you should process all your drives (Internal and external HDDs, DVDs, etc) with WinCatalog and it will remember each file, its attributes and some additional info about the file (thumbnail, EXIF/ID3 tags, and so on).

After that as an optional step you may want to reorganize drives, folders or files for better visual representation, tag or comment some of them.

And, finally, when you need a file which is stored anywhere, you just run WinCatalog, type a search query and find the file. WinCatalog tells you where the file is stored and where, for example on what shelf or in which box the DVD is physically located (in case if you typed this info before). All you need is just grab the disc and access the file.

As a bonus feature you may find duplicates by some criteria and know how many copies of a certain file you have.

To find something in WinCatalog you should use Search feature. Just type something in a search box to find, or use wildcards and search operators for better results. In addition to Softpedia articles I can suggest two more topics from our site:

I find their reviews not biased & not "sponsored". Plus they make a point to hv *clean* dwlds or warnings if they can't!
Otherwise, there are so many w PUP, PUA, PUM, I can't keep up :(
I didn't go crazy cataloguing my many many HDDs. Instead, each time I plug a new un-catalogued (is this a word?) one, I scan it then. Little by little they all will be done [soon... I hope *sigh* Never hv time to do everything... I bought it in 2013]
Also, this Dev is quite responsive & listens to users needs (see above).
The price here today is very good, and you can't beat the upgrade policy, which -officially- is 1year, but ... as you can see above even those who bought it in 2012 rcvd a free upgrade, very neat & generous! :)
Gee, I'm sounding like an agent here, I don't even know these people!
I buy apps mainly by small independent developers, just like to encourage them.

I've been on a deadline recently, and am not quite finished with it yet, so won't have time for a few days to mess around with this software, but hope when I do, it will "make sense" to me -- I'm not clear yet on how you use the catalog function for things that are physical (like in a a box) vs. being files on the computer. But no doubt it will come together. If not ... and if they don't close the comments on this page .... perhaps you'll hear from me again, whining and asking for more advice! :)

Michael Rusakow Hello Louis, thank you for your questions. Unfortunately, the short answer is "no" for both questions (at least for the near future).

The current version of WinCatalog gets lists of files from archives, but it does not unpack archives in order to process the contents of the files from inside (extract thumbnails, grab Exit, ID3, etc). Processing files inside the archives is the next level of scanning.

Both suggestions already exist in our internal wishes list, so I'll add +1 to both entries. But no promises on when the features will be released. Thank you!

While being able to have thumbnails for all Adobe file types would be wonderful, there are more than enough features to make WinCatalog a very useful program for my other disk cataloging needs. I have thousands of old CD's and DVDs from back when they were a far more affordable way to back up files. Who knows what hidden treasures I will find!

Michael Rusakow @Mario, WinCatalog does not require any installation routine, so you can simply copy the entire WinCatalog folder from Program Files to usb and start WinCatalog.exe.

There is only one disadvantage: WinCatalog keeps all settings, including your registration info in the Windows registry, so you will be needed to enter a reg.key on every new computer where you start WinCatalog (just once, on first launch).

Additionally, storing a collection file on an usb may slow down a bit because of slow read/write speed of the drive.

Amit I am very new to a this type of software ie. cataloging. And so would like to know what wincatalog can do for video files, which are not cd/dvds. I mean for video files downloaded from internet, like 720p dvdrips and 720p brrips, of hollywood movies, what features wincatalog will provide for managing collection of them ?

Michael Rusakow Amit, this kind of software may be useful if you store your movies, for example, on an external hdd. In that case you will be able to know what movies you have without a need to connect the drive. Furthermore, if you have more than one drive, you will be able to know which one you should connect to access the particular movie.

The same is true for other drive types: DVD, Bluray, etc, and even WinCatalog may be helpful for internal hard drives.

1. You say "Collectors take note: WinCatalog 2015 Professional can be easily adapted for non-digital items. Catalog your books, videos, or even postage stamps and coins!" I've looked at your website and can't find this feature described. Can you give me a link please?

2. In the Fine Print you say "Upgrades to future versions of the software will be free up to the next major version and minor versions thereafter.
Support is provided up to when the next major version is released, and minor versions thereafter." Does this mean that the software can be upgraded to include the next major release but not the one after that although minor upgrades to that later point will be included? Likewise for support?

All I have been able to discover, regarding the "non-digital items" feature, working with this program is there is a menu item labeled "Custom Item."

Clicking on this brings up a box to label the item. Then you have to right click on the item name and it brings up a properties box where you can enter the information such as Location, Comments, Tags, and the ability to add a thumbnail to associate with the item.

I can not find any info on this procedure in the included help file, and to use this feature one has to enter all info by hand. I cannot find a way to automate any part of this.

For instance, I have a lot of physical books. I would have to enter the information for each one manually. There is no current feature where I could enter something like the ISBN number (or scan a barcode) and automatically download the information for the book. This would be a VERY helpful feature.

As it is, I would not recommend this program for folks looking for an "easily adapted" way to catalog non-digital items. Digital items? Yes. Non-digital collections? Not so much.

I am currently 3 and a half stars - out of five - satisfied with my purchase for use in cataloging my digital items. (4 Stars would need to have thumbnails for all types of Adobe or other graphic file types. 5 Stars would have to include some level of automation for cataloging non-digital items.) As it exists right now it will definitely help me catalog my digital items and is well worth the $20.

The new 2016 version will contain a lot of improvements, some of them will be internal (i.e. not visible but will make WinCatalog work faster), some of them will improve existing features or add new. For example, in addition to HTML and CSV report types, the new version will have an ability to export data into XML; or have images (thumbnails) in the HTML reports. The other interesting feature may be an ability to assign custom/user defined fields to any item in the catalog or copy the rows of search results as text/HTML to the Clipboard. The list of improvements will not be limited by the features posted here - we have a long list to do in the future updates.

Of the many programs I have purchased on this and other shareware sites, I think I get the most usage out of this one. I have cataloged and organized my files on my computer and it is very easy to use and maintain.

This is one program that is worth the cost as offered here.

bvssunnydale Hi, (1) I was wondering if thumbnails can be assigned to specific files (rather than randomly and automatically selected) - this would be especially useful for video files? (2) And, are separate (superset) catalogs maintained of subsets of files, DVD's, hard drives (e.g. so that the search can be limited to "Home" or "Office" or "Club" files - each of which might include thousands of separate DVD's and a several hard-drives)?

Ela S. Thanks for offering this program again, following the development for some time now - very interesting eg for all CD/DVD backups. I am interested in some special features:

1. Can own columns be created in the explorer view - eg location of the item (shelf, office, home, borrowed etc)

2. Would it allow to tag ALL file types (doc, txt, mht, mp3 etc)?

3. Is a comment column available for ALL type files?

Michael Rusakow @bvssunnydale, the short answer to all your questions is "Yes". You can tag any file or folder and these tags will be searchable. For music files that contain ID3 tags and for ebsoks, WinCatalog creates tags automatically (you can change this behaviour in the program options). For other types of files, you can create and assign tags manually. Open properties of any file and follow to the Tags tab or user drag and drop: drag items (files, folders) and drop them on a tag in the tag tree to link. To manage tags, please click Manage Tags on the Managing tab of the Ribbon toolbar.

To separate subsets of your catalog, you can use virtual (blue) folders and move catalogued DVD disks, folders or individual files to these DVDs. In the future, when you're searching for something, you will be able to limit search results by any collection branch. Just mark the Look In option in advanced search options (below the search box).

You can assign ANY picture to ANY item (file, folder, disk, custom item) in WinCatalog. Please open Properties of the item, follow to the Thumbnail and Load the picture.

1. The main idea of the custom fields is to show them in the explorer view. However, for the initial release, it might be not shown in the explorer view (the custom fields will be searchable and will be shown in the right sidebar). But in one of the nearest releases we're going to add them into the main grid (explorer view) as well.

2. Yes, custom fields will be available for all items in your catalog.

3. Yes, you can store any text in the comments field of any item in WinCatalog. By "items" I mean catalog entries: files, folders, disks, custom items, and virtual folders.

4. Thank you for the suggestion, that's a great idea! I have added it to the wishes list for the future updates.

1) Long time ago, ~mid-2012, you wrote here abt portability: "Version 4 will have an ability to store all settings (including registration info) inside a local file to make WC portable". Was wondering ... has this been implemented yet (and my old brain missed it), or not?! If not, when?
2) Was wondering, can one have more then one 'My Collection', if so how can it be created? I have been reading all the help, the guide, just can't see how to do it. I want to separate some media that belongs to my husband

Unfortunately, full portability of WinCatalog wasn't implemented (yet), I'm sorry for that. A sort of good news: 2016 version is going to store some settings inside a catalog file, so, some options (for example, scanning options) will be catalog dependent. Can't promise about full portability, but we're keeping this ability in mind.

The current version of WinCatalog can open only one catalog file at the time. If you wish to open more than one catalog, you should run another instance of WinCatalog. At the moment, we did not plan to implement multiple catalog opening for 2016 (however, I should admit that we already have this feature as a suggestion in our wishes list).

For your convenience, I can suggest you create two virtual (blue) folders under My Collection: one for your media and another for your husband's media and move media to these folders. You can move any item in WinCatalog by using drag&drop.

1) A pity full portability isn't yet implemented. In 'Options' I set the file location to my main external, and bkup to another internal, not 'C'. Are there other files on 'C' that I can/should move/copy?
2) I am guessing you changed WC file extension from .wcat to .w3cat, right?, since I can't find anything under .wcat
3) I didn't know one could launch more than 1 instance. Though, after I did, I was not offered to create a new 'My Collection' ...
4) Most of my fldrs are iconized as it is easier to remember. In 'Options' I set it to add hidden & system files. But it still only shows the same old yel fldrs, none is iconized. Are there settings I can change to make this happen?
5) Are there any videos on how-to use WC? Can't find anything on YT. Though I read the guides/features/etc on the site, videos wd be easier, old brain & all that ... ;)

1) All the files to run WinCatalog are located in the "Program Files (x86)\WinCatalog" folder. You may copy the entire folder anywhere and execute WinCatalog.exe to start the program. And, certainly, please do not forget your catalog file(s). No other files are required.

2) We changed the file extension in 2011 after upgrading from WinCatalog 2009 because the file format was changed (since 2011 WinCatalog uses SQLite database engine). So if you're searching for your recent catalog files, please use the "*.w3cat" wildcard.

3) When you launch another instance of WinCatalog it re-opens most recently opened collection file. To switch to another one, please click the Collection Management button (left from the Main tab of the Ribbon toolbar) and click Open Existing, or select another one from the Recent list.

4) Unfortunately, WinCatalog does not import custom icons for the folders. That is why all of them are shown using the standard yellow icon. We did not plan to implement such a feature for 2016, but I will add this to the wishes list.

5) Unfortunately, we do not have tutorial videos at the moment. Please check the user manual (here: https://www.wincatalog.com/help/w3/ or PDF version here: http://www.wincatalog.com...manual.pdf) and please do not hesitate to contact me (via the feedback form: http://www.wincatalog.com/feedback.html) if you have any questions or any ideas (or maybe you can suggest some topics to explain in the manual).

WinCatalog can catalog local drives connected to the computer, and drives accessed via a local network.

So, if you can see your USB HDD via a home network from another computer (by expanding the Network branch in the File Explorer), WinCatalog will catalog that drive as well. But you should use Add Folder command instead of Add Disk (because Add Disk command lists only the local or mapped network drives, whereas Add Folder lists the whole file system tree, including the Network).

WinCatalog license does not limit you in a number of computers where you will work with the program. You can install WinCatalog on any computer using your registration key (you will receive your key upon purchase). However, if someone else will use WinCatalog, additional licenses should be purchased.

John User I bought this program several months ago through BDJ and I could not be more pleased with it. I really suggest you download the trial version and check it out as there are to the best of my knowledge no other programs out there that can do what WinCatalog does. It helps you organize all the clutter and then find what you need without spending a lot of time searching.

My favorite feature of the program is the various reports you can generate as well as the synchronization. Also, I should mention WinCatalog has an outstanding technical support staff. They not only respond promptly to questions, problems, etc., but are very open to suggestions to improve the program.

In sum, I think this is one of the best programs I have purchased through BDJ and worth every penny and more.

Javier Gil I tried to catalog a folder with hundreds of pdf files. Despite having a very fast computer, it was doing something like 1 file every 30 seconds. I had to cancel. Then I tried to save that file with the cataloged files, it crashed.

Lito Quick Quesiton, I am still on the 2015 version and will have to go update it soon since I didn't even notice the new version came out, but does the 2016 version allow me to keep a record of deleted items? That was my main issue with WinCatalog 2015, I could keep track of all I wanted, but if I deleted something or moved it to a drive/directory that I don't let WinCatalog scan when I tell it to update it's records, it deletes it from the database. I do want to be able to search for something and know I did have it and it was deleted.

Michael Rusakow Hello Lito, using WinCatalog 2016 you can see all the deleted items in the synchronization report and save them into HTML or XML. However, after the report closes, all the deleted files will be deleted from the catalog. In other words, the current version does not allow keep track of deleted files. Good news, we already have a similar suggestion in our wishes list and we plan to implement it in one of the future updates (it will be possible to tag deleted files and keep them in the catalog). I will add +1 to that suggestion for you.

Michael Rusakow Hello Norm,

WinCatalog does not monitor changes of the files automatically. Every time you update files on your disks, network locations, or anywhere else you should "tell" WinCatalog to re-scan the location(s). To do this please select your disk or network record inside WinCatalog and click the Update button from the Management tab of the Ribbon toolbar, or from the context menu (right mouse click on the disk record).

Please do not worry about the scanning time: WinCatalog will do the update MUCH faster than an initial indexing operation because it will skip unmodified files and will process only files that are missing in the catalog or were modified since last update/indexing.

Please also note that you can update a certain folder from the disk instead of the whole disk, but since WinCatalog will grab only new and modified files, it is not a big difference in the matter of time.

WinCatalog does not monitor changes automatically because it may have a lot of disks added to the catalog (literally several thousand), and monitoring all of them (despite the most of them are off the PC) might be not a trivial task.

The Mac version. Unfortunately, WinCatalog does not support Mac OS, but we have clients who successfully uses WinCatalog in Mac via Parallels.

By the way, we also tested WinCatalog in Linux (Ubuntu) and it works well with a help of WineHQ.

Norm Sash Thanks for the reply, Michael. The indexing update sounds reasonable and I can understand not monitoring file changes. Although in a perfect world it would be nice, I can certainly see issues with trying to monitor.

I've downloaded the trial and have tried running it twice to do a scan on a large folder (Win10, Surface Pro 3). and it runs for awhile. However, it then crashes with a WinCatalog 2016 has stopped working message. I'm not really sure what is causing the crash.

Sean Brannon Sorry, but not automatically maintaining a catalog of removable media is a deal breaker. Having to remember to update the catalog every time I remove a piece of media is tedious and too open to human error.

If this would automatically catalog removable media I'd buy it in a flash.

Michael Rusakow @Jonny User, the current version of WinCatalog cannot track moved or renamed files. WinCatalog uses a full path to the file to identify the file in the file system, so if you move or rename a file, WinCatalog will consider that the 'old' file was deleted (and will show it as deleted in the synchronization report), and the moved/renamed file was added. Unfortunately, all the comments and other metadata *manually* associated with the file will be lost.

Anyway, the ability to track moved/renamed files is planned to be added in one of the next updates (however, can't promise exactly when; maybe in WinCatalog 2017). Most probably, this feature will work only with NTFS drives.

@Sean Brannon, the same for the automatic updates. Since more and more people asking for this feature, we're going to consider implementing it.

Craig S. Hi, I'm confused by the wording about updates/upgrades on "the Fine Print" tab. It reads: "Upgrades to future versions of the software will be free up to the next major version and minor versions thereafter." Does this mean: 1) You get one major version upgrade (for instance 2016 to 2017 free), and then all minor versions for 2017 free), or 2) Only minor versions for 2016 are free?

Whichever way it is, I would recommend re-wording. If it DOES include one major free upgrade, it should read ..."up to the next major version...."

Oli User Hi Michail, just a little question. How many percent is WinCatalog Pro v.2016 quicker than an older version 2015?
In comparison WhereIsIt vs.WinCatalog 2015 the recording time (speed) of photo RAW files on CDs/DVDs is "a pain in the neck!". Under my experience is 4-5 times sluggish.
Has new version of WinCatalog 2016 this ache improved yet?

If there's no difference for a home user between Personal & Professional then it's cheaper to buy the personal upgrade from a previous version, unless this includes free updates to 2018 and the upgrade price doesn't.

Tiberius I just tried to buy with paypal three times but the page returns to the order form asking me to fill out the province or state (in my case prefecture) which I do.

Michael Rusakow @guy t974, for PDF, DOC and DOCX files, WinCatalog creates a thumbnail preview image of the first page. Unfortunately, WinCatalog does not index the contents of these documents, just a thumbnail image.

At the moment, WinCataog does not support libre office files and index them as regular files (it grabs just basic file info for these files).

For other file types, WinCatalog extracts ID3 tags and album covers from music files, Exif tags and thumbnails from pictures and RAW files, media info and thumbnails from video files. It grabs lists of compressed files from archives and ISO images and text data from TXT and HTML files.

I'm confused because it seems we have to buy TWO (2) licenses for the same product: the Regular ~AND~ the Regular with Lifetime Upgrades, which offers only the 20% discount.

Also, the above description mentions "Collectors take note: WinCatalog 2017 Professional can be easily adapted for non-digital items. Catalog your books, videos, or even postage stamps and coins!"
Is there someplace this/these features are described more fully? For example, I don't suppose it can take bar codes, ISBNs, etc. and import info from online? ;-) (Already got it today, not expecting that it can do this--but would be a fantastic surprise if it could!)

Mappi75 I think its one of the best programs of its categorie.

There are not much options one of the well known programs is
"Advanced Disk Catalog" but its development stoped in 2001.

Another is "Where Is It?" but its from 2014.

I'am not sure if i (really) need this software...but i want it ^^
Lifetime Upgrade is a great option too.

The question i ask me:

i have a lots of external drives which much files and on every drive there are
often same files (duplicates).
Will the software help me to organize all these files?

For example if i want to create a new external drive can i organise
the files to this new drive with new good titled folders ?

Answering your other questions. WinCatalog uses GhostScript to produce picture thumbnails for PDF files. Unfortunately, there is no option to skip GhostScript in WinCatalog, but any external module can be simply deleted and WinCatalog will correctly handle that. If GhostScript is prohibited on your network, please delete the "gs" folder from WinCatalog program folder.

Concerning the links - WinCatalog follows the symlinks and hard links and scans files and folders there.

Michael Rusakow @Mappi75, thank you for your question! The current version of WinCatalog cannot manipulate files. Currently, it can help you to organize your files, but inside the catalog and you cannot translate this reorganized structure back to a hard drive.

Previously our vision of WinCatalog was focused on the fact that it is a disk catalog software, and it stores information about files. The expected behavior is like a one-way road where the program can get all the changes from the original (physical) files but cannot change or modify anything there.

?However, in the recent time, we started to receive questions like your's and we have already added such a feature to the wishes list for the future updates (?the internal ref# WCAT-351), I will add +1 to this feature for you.

Michael Rusakow @David McCartney, WinCatalog uses GhostScript to produce thumbnails of the first page of each PDF file, and then it reduces the image according to the program settings. If the thumbnail size in the options is set to, say, 256x256, images will be reduced.

GhostScript generates images of the PDF pages in the original resolution, i.e., in a 100% scale.

WinCatalog do not expand thumbnails because this does not make sense. If the thumbnails size option is set to 1920x1920, but GhostScript generated an image, say, 500x500, it will not be enlarged and stored as is.

Pavi Johnson I just want to endorse this product/developer because on the website, they make it so easy to see your old version and license, as well as download the last version you are licensed to use.

I purchased a version many years ago, and I was able to determine that they automatically upgraded me to Version 2016 Professional and get a copy of that version!

Sid B Tempted by this since I own 2016. My problem is that every previous version crashes every single time I use it. I have at least 15 large external drives (1-5 TB) and every time I try to scan the program crashes out. I installed on three different systems (the advantage of external drives) and the same thing happened on all of them.

Bjondc @Sid -- I also have 2016 (free upgrade from an older version) and when I tried it, it crashed on a folder (internal HD) with many thousands of files (300+GB); it also crashed on a folder with fewer than 100 files/<10GB. I didn't even try any external HDs or a different PC. I d/l the current version and have used it (in trial mode, still have a couple of runs I could use of the 10 allowed) and it hasn't had any trouble. It was also faster than the older version was (before it crashed) on the same (large) folder.

Michael Rusakow @Indusekar SK, unfortunately, for the PDF files, the current version can only grab screenshots of the first page of each file.

Concerning the exporting feature. WinCatalog can export data into XML, HTML or CSV files (you can open CSV files in Excel). This functionality is called Reports. To find this feature, please click the Catalog button (left from the Main tab of the Ribbon toolbar), then click Reports.

The website says US support is in MN and not in IL. VAT wouldn't apply to a US purchase. If you are collecting for Illinois what is your Illinois Dept. of Revenue Retailers' Occupation Tax Number (8 digits laid out like xxxx-xxxx. I've had one for 27 years)?

Pavi Johnson Yes, I agree with Sid. This is actually terrible! I've never seen VAT added inside the US from a different state - that clearly should never be collected, and I highly doubt the sales tax is being delivered to the proper state(s) by the payment processor.

It's probably Digital River's fault, so maybe you should think of switching to another payment processor. This also caused me to delay a purchase.

Pim Joosten Is it possible to buy the lifetime upgrade option at a later moment? I am going to buy the program, but I think the price for the lifetime upgrade option is rather high, especially when I have not used the program very actively yet (only the trial version for 2 weeks). At this moment I am uncertain whether the lifetime upgrade option will be worth it for me, but it might change when I have used the program for some time.
If buying the lifetime upgrade option at a later moment is possible, do I assume correctly there will be no 20% discount then?

John User This is a great program, but honestly, it is not one that I use that often. Through a deal like this I purchased WinCatalog 2015 and have been happy using that version. I really missed the upgrades for 2016 and 2017 - I didn't receive any notification of the upgrades being available.

I just downloaded WinCatalog 2017 (naturally it would not accept my 2015 version name and serial number) and I am not seeing that much in the way of improvements, differences, etc. I went to your website and tried to identify what those improvements, etc. might be and I was unable to locate any.

I am thinking about upgrading from 2015 to 2017 and the 2018 to come, but could you please direct me to a description of of improvements, etc. over the last few versions? Thank you.

Colin McAllister Can you please explain how one uses the "Contacts" tab?

I can find nothing in the help section, nor in the online help, about "Contacts". I would like to keep full details of my contacts offline and a bare minimum online, but I would need fields such as "Home Mobile" "Office Mobile" etc.I had hoped WinCatalog would enable me to do this.

Also, I have imported many music and image files, but none of the files has the "Physical Location" section filled in (under "Properties"). I assumed that field shouuld show the path to the item on whichever disk (hard disk or removable) the item resides. I don't really want to have to fill in the location field for every single file I import! Thanks.

For example, if I need to move a subfolder on drive X to a different subfolder on drive Y. Not only did the drive letter change, but also the path to the root of the moved folder changed. Does this require a new scan, or can I give WinCatalog minimal information, such as before and after folder locations, and it be able to update its database? Optionally, I might want to do a rescan of the moved folder, but if I know I did nothing more than a folder move, I would not want WinCatalog going off into a rescan.

2) Can WinCatalog's scan priority be fully controlled? Many applications that do disk scanning can interfere with applications the user is needing in the foreground, even if they advertise that they do not interfere.

3) In 2012, you predicted a portable edition would come out. It has been 6 years. What is the big holdup? (Ref: older comments)

Adam P @Gary Smith If you move a folder, you have to update the directory where that directory was, and scan the new directory. As of 2017, WinCatalog doesn't detect moved folders.

So if you move x:\music to y:\misc\music, you would have to update x:\music & y:\misc

(Of course, since I don't work for the company I could be wrong and the license key we have does automatically work for 2 versions.)

Craig S. Trialing your software today. Trying to catalog an external USB 3.0 hard disk. My CPU utilization is pegged at 100% during scan, and my computer basically unusable during that time. Also, it's taking FOREVER even though I told it specifically not to create thumbnails for pictures or video. Even with these options, it's showing me thumbnails during cataloging, and it's taking about 1-2 seconds for each .OGG file it's cataloging.

Is this normal performance? Am I missing something?

Scroll down to section 'Insert Disk dialog saves your time'. The image there shows a physical location. It appears that you enter the value, but you enter it once per physical disk - CD, thumb drive, hard disk partition, etc.
Contacts: on the same page scroll to section 'Adding contacts and managing loaned disks'. This appears to be another comment for the physical disk, when it's away from its 'physical location'.

Q for M Rusakov: Would it be feasible to give WinCatalog the capability to perform MOVE, RENAME, DELETE and RENAME actions (for files and directories), through GUI and command line, so that it can perform these actions itself and update its catalog at the same time. Then user would not need to keep track of operations he had done through Explorer or cmd prompt and do rescans for each at a later time?
Can WinCatalog insert itself into Windows Save and Save As operations, so that it can update its catalog automatically when I create or update files using other applications (if there is a catalog for the disk on which the operation takes place)?

Michael Rusakow @Kiwidave, WinCatalog supports FLAC files, please open Program Options, follow to the File Processing page under Scanning and find the "Media information for video files section". Please don't be surprised by "video" section: WinCatalog uses MediaInfo plugin to extract metadata from video files and the plugin also supports FLAC files.

Please add the ".flac;" and other extensions (starting from the dot and ending by the semicolon) the list of supported extensions. Click OK when done. This will add the .flac extension to the list of supported extensions. That is it. Next time you scan a drive or a folder WinCatalog will process .flac and other files that match the extension list and extract ID3 tags and other media info.

1. Currently, WinCatalog uses the full file path to identify files. If you move any file, no matter, inside or outside a disk, WinCatalog will interpret changes as following: the file on the old location was deleted, the file on a new location was added (it will be marked as new). So, if you have any comments, tags or user-defined fields attached to the file, this information, unfortunately, will be lost. In our wishes list, we already have a suggestion to track moved items during a single update session (the files should be moved inside one disk), but this feature is quite complex and wasn't implemented yet.

If you don't have any info manually attached to the file, there is not a big problem that WinCatalog moves files by deleting and re-adding. Furthermore, WinCatalog tries to speed-up the scanning process by skipping the unmodified files. So, if you move or add something to a previously cataloged drive, the updating process will be finished much faster than the initial scan (the updating time depends on a number of the modified files).

2. WinCatalog scans drives in a normal priority since the disk usage is a bottleneck, there is no need to use more CPU.

3. Unfortunately, the full portability wasn't implemented yet.

Michael Rusakow @Richard Blake, you can use the custom items (a purple pyramid icon) to add a non-file item into the catalog. Then, you can assign any fields to these items using user-defined fields, and even set a thumbnail to it, so your books, coins or other items will even have a picture. You can move and group your custom items into virtual (blue) folders, add tags. You can even mark these items as loaned and set the location / sub-location for them.

Michael Rusakow @Colin McAllister, the Contacts tab allows managing contacts for the loan feature. In WinCatalog you can track to whom you borrowed a disk.

The Location field saves the disk physical location. Imagine, you have DVDs and keep them in soft wallets. You can save the wallet number as a location, and a page number as a sub-location. WinCatalog will combine these two fields and will show the complete location as, for example, "Wallet 12 / page 4".

The file location (the full path to the file) is shown on the File Info tab, the information about the disk where the file is located is shown on the Volume Info tab of the Properties. There is no need to add this info manually, WinCatalog grabs it for every file.

Furthermore, in comparison to the 2016 version, 2017 introduced a completely new scanning module that was rewritten from a scratch. The new module brought more stability and a higher scanning speed. You can try 2017 version before purchasing the upgrade and easily revert back to 2016 if you decide not to stay on 2017.

Colin McAllister Thanks for the replies @Richard Blake and @Michael Rusakov. While I can understand the "physical disks stored offline" explanation, I still feel the program is missing out.

Michael - I keep my current images on my C:drive and (usb-attached) S:drive (shared/working backup items) and I:drive (image archive). I have added folders from each drive to the Catalog folder in WinCatalog. If I click an image file inside a folder in WinCatalog, I get the General and File properties below the thumbnail. The "Physical location" info isn't there though, hence I can't easily tell if that image is the one from the C,S or I drive, even though the "File location" field states "Pictures\2006-Glasgow Visit\.Fred singing-001"

If however I right-click an image and choose its properties, the "Volume Info" tab has the Root Path info there! It would be very helpful if the root path info could be added to the "Physical location" info. That way if I have the same file on two or more usb drives I can instantly see which drive I am viewing. Just a suggestion. Thanks.

Michael Rusakow @bvssunnydale, using WinCatalog you can create as many catalog files as you want (and under a single license you can install WinCatalog on any computer where you work with the program). However, unfortunately, WinCatalog does not allow opening several catalog files simultaneously in one window - if you want to open more than one catalog file at a time, you should run two instances of WinCatalog.

Each catalog file you create can host almost unlimited number of entries, including the unlimited number of tags. You can create as many tags as you need and assign any number of entries to each tag.

Please note that WinCatalog also has virtual (blue) folders. You can consider them as categories. Virtual folders help to organize your catalog file visually. The main difference between tags and virtual folders in the following: one entry (a file, a folder, or a disk) may be linked with any number of tags, but can be located only in one virtual folder.

Michael Rusakow @Lewis, unfortunately, in the current version of WinCatalog you can't filter files in the main view, the only way to display files by some criteria is to use Search and limit the search results by a certain branch.

Answering your second question. Yes, you can put the catalog file anywhere, including a fileserver and access the catalog file from other computers.

WinCatalog keeps all the data for the catalog inside a single file with .w3cat extension which is SQLite database. You should know that network access reduces the program's speed (because SQLite is a local database and requires a frequent disk accessing, so it will send a lot of data over the network). The second issue is that accessing SQLite database over a network in a multi-user mode may harm the database (this is the warning from SQLite developers).

Anyway, a lot of our clients use WinCatalog over local networks, even simultaneously. WinCatalog tries to handle this and prevents multi-user writes to the database by using a kind of a semaphore (a simple text file where WinCatalog keeps the info if anyone updates the catalog). Multi-user accessing in the read-only mode is OK and will not harm the database: most of the time clients use WinCatalog in a read-only mode (they browse or search for files).

Can you resize the thumbnails for PDF files (or any other I guess) and if I change the 1st page on a PDF, is there a way to update the Thumbnail? Does it show Thumbnails for Word documents? I tried it and it just put like an Word Icon in place of the 1st page of the document.

Unfortunately, WinCatalog still does not have an autoupdate feature (if we're speaking about monitoring changes on the connected drives), but if you want to update drives automatically on a schedule, you can use Task Scheduler and the command line interface [manual: http://bit.ly/2OHNNhm].

Michael Rusakow @Lewis, when you update a drive, WinCatalog actualizes the info about the files modified since the previous scan or update. For the PDF files, if the file was changed, WinCatalog will generate new (actual) thumbnail of the first page. Please note, that if the last modified date for the file or a file size were not changed, WinCatalog will consider that the file wasn't changed.

You can turn this behavior on or off in the Scanning Options: for the selected scanning profile, please find the following option on the General Scanning "While updating a disc, skip the unmodified files (speeds-up the updating process)".

You can also change the size of the thumbnails on the File Processing page of the Scanning Options for the selected scanning profile. Find the "Thumbnail Size (in pixels)" option in the "Pictures and digital photographs" section. Currently, WinCatalog uses this option for all generated thumbnails.

Please note, that changing this option affects on future scans only and will not change the size of the thumbnails that are already in the catalog. Changing this option also does not force updating the unmodified files, so you should turn the "skip unmodified files" option temporarily off.

For the MS Office documents, unfortunately, the current version of WinCatalog cannot guarantee the thumbnails grabbing because WinCatalog completely relies on the File Explorer, and if it provides thumbnails (if you can see the thumbnails in File Explorer), WinCatalog will grab them. Otherwise, unfortunately, it will not.

RESPONSE TO A PREVIOUS QUESTION:
1. Currently, WinCatalog uses the full file path to identify files. If you move any file, no matter, inside or outside a disk, WinCatalog will interpret changes as following: the file on the old location was deleted, the file on a new location was added (it will be marked as new). So, if you have any comments, tags or user-defined fields attached to the file, this information, unfortunately, will be lost. In our wishes list, we already have a suggestion to track moved items during a single update session (the files should be moved inside one disk), but this feature is quite complex and wasn't implemented yet.

For the next 2019 update we decided to focus on real file operations - the initial 2019 release (will be released at the end of March or at the beginning of April) will have the ability to delete real files from the disk - this is the most wanted feature at the moment - after that we will collect feedback on this feature and decide where to move further (in other words, if the other two more complicated features are still needed - moving and renaming).

As for the automatic tracking of moved and renamed files, this is a quite complicated feature, and since 2019 is mostly (but not only) "the year of file operations", we will start experimenting on that after the initial 2019 release.

Brian W Feature request: Once you have the direct file operations incorporated in 2019, then expanding the duplicate finder features (ex. compare 2 folders) would be greatly appreciated so that after finding duplicates we don't need to move to a separate duplicate finder program.

Most useful for me is identifying duplicate FOLDERS. Few de-dupe programs include this feature but it really speeds things up for someone like me who has many years of backups on various external drives.

(My dream is a "consolidate" program that can intelligently combine folders and de-dupe files, so that all of my photos from all drives can be moved to a single "photo" folder with sub-folders (or tags) indicating the folder tree they came from.)

Mr Dave I need to agree with Ed Ward. I reorganize and move files often. It's best to record all I know about a file when I first get it, not weeks later when I try to move it to it's final home. Same for backups or additional copies. Why catalog something if the results are inconsistent? To me, a true key for a file should be an MD5 or SHA hash tag, possibly combined with file length. When scanning or updating a disk, if a duplicate name is found but with a different hash tag, the program could flag it so user can claim it's a new file so don't copy added information from old file) of if it's an updated version (so then it would be helpful to copy the old information into the database for the new file).

I know this is a complex issue and different users have different needs. But a file's name and location are simply external attributes of the file, same as a description or cover photo... I tend to not use catalog programs like this because of the effort needed to really build a useful catalog, all the added work to maintain things, and the risk that the program won't work in the next Windows update so all my work is gone. Is the database proprietary, or could I access it with Libre Office or MS Access or some other relation database program? If I move 500 files to a different folder or disk, it would not be hard to update the location in a database program before the next run of WinCatalog.

I still use an OLD program called VVV Catalog for keeping track of what's on CDRs, DVDRs, external hard drives and flash drives. Just to help me find things faster than inserting a bunch of disks. Maybe that's all WinCatalog is intended for, but I like that I can add my own information about the files and might buy the program just for that. But not if I need to recreate everything when a file is moved or edited. I don't have time to do stuff more than once!

Michael Rusakow @Scott Youngman, instead of adding a whole disk by clicking Add Disk button, you can click Add Folder and select a folder to add to the catalog. You can add several folders from one disk to WinCatalog. Furthermore, you can add just a single file, if you wish. Unfortunately, the current version does not have the ability to scan only certain file types (we have such a suggestion in our wishes list, I have added +1 to this feature for you). The current version has the opposite feature: it can exclude files and folders by a mask from the scanning.

As for the non-digital items - you can add Custom Item to the catalog (a purple prism icon), then you can assign a thumbnail (a picture) to this item, create as many fields as you wish, manage linked tags and set the location. So, using WinCatalog, generally, you can catalog any physical items (books, VHS tapes, collections of baseball cards or anything else you can imagine).

The main issue with SHA hashes (and even with MD5) is the calculation speed which can be relatively fast for internal drives but may be an issue for the drives connected via slow ports or via USB hubs that may reduce the speed. Anyway, at least this feature may be implemented as an optional calculation for those who don't need that.

Mr Dave I'm back with another suggestion, and maybe your product already does this. Would it be possible to load in the first 255 characters out of text files, and make that readable even when file is offline? I normally create a text file most things I download, with the source and description. Even the first 255 characters of that would be helpful, and takes less storage than a picture thumbnail. Maybe 512 characters, or a thousand? Length could be set as a user preference.... I hope to try our the demo version later today!

This feature was implemented in WinCatalog since one of the early versions (approx. in 2002) and it works exactly as you described: by default it grabs first 255 characters of each TXT file, but you can change this number to any you want or even set it to unlimited (in that case, the whole text will be stored). WinCatalog puts the grabbed text into the Comments for the file record in the catalog and this text (and all the other info WinCatalog grabs about files) is available when the disk with the file is not connected to the computer (i.e. when the file is offline).

You can configure this feature on the File Processing tab for the selected scanning profile (please look for "Text files processing" section).

In general, Task Scheduler may be used to automate the update process on a schedule (via a command line), but this is not what you suggested before. I think automatic updates (at least via the command line) may be implemented in one of the 2020 updates.

Converting USD to CAD, Digital River/ShareIt/MyCommerce/whatever (how many names does this Co have !?!) takes a $25.00 cut ABOVE the normal/current conversion rate !!!

I know it's not your fault, and I know it's not going into your pocket ... soooo no !!
I understand making a profit, but this is ridiculous :(
Don't know if all companies do this same 'conversion' rate.
Maybe you could look into it, just in case others are more reasonable.

Craig S. @Michael, thanks for the update re: auto-updates. This is such a key feature to me (the ability to plug in an external drive and have WinCatalog prompt me or automatically update the drive catalog). I know Windows 10 has a feature where it detects the insertion of a drive and asks you what you want to do with the drive (and then remembers thereafter). Perhaps that's something that could be integrated with WinCatalog. Anyway, I'll keep checking with each new release...really hoping for some good news on this, and then I'll be hitting that "Get This Deal" button ASAP! :)

I really can highly recommend purchasing this software for any kind of disk/media cataloging. I think is the best software for media cataloging available (tried several others, but wincatalog is the "ferrari"), additionally positive are the fair user policy and reliable support.

really great software, nevertheless some feature requests:

1.(most important) in case a cataloged media is physically adopted,
the possibility not only to open a folder or file in explorer, but also to be able to use the explorer-context-menu functions would be very useful!
E.g. for comparison of files and folders via beyond compare, renaming and many other tasks that can be accessed via the explorer context menu.

2. It would be fine if there would be a kind of offline duplicate files and folders subfolders search.
In case finding exact duplicates may not be possible because wincatalog would have to store too many pieces of information, it nevertheless would be helpful if wincatalog could at least find files and folders offline that probably /possibly may be identical (regardless the name) - even if one has to verify that by software like noclone or keymetrics duplicates file detective.

3. possibly technical more utopia:
offline functions like scooter beyond compare and keymetrics duplicates file detective have (comparison / duplicate recognition offline)

Robert Smith @Michael Rusakov, I have owned Wincatalog for several versions and have never been able to make it work. I made one catalog years ago and that is the only one. I purchased ver. 2019 thinking something would be easier.
I see all these nice folks are using it and loving it but at near 80 years old I have problems getting it to work for me.
I have downloaded and read the manual and searched for a tutorial on Youtube to no avail. I just need a video to follow step by step to catalog all my stuff scattered all over the place, just a little beginners basic video.
I'm sorry I'm too stupid to figure this out on my own.

I'd like to understand the space requirements for Wincatalog. If I have 1.4Gb of photographs, will the WinCatalog database also take up (another) 1.4Gb on a hard drive?

Also, can you clarify what happens If I delete a photo folder within WinCatalog? The segment quoted above suggests the original source folder on the hard drive (outside WinCatalog) gets deleted too - is that what happens? Thanks.

Mike Shanahan My wife bought WinCatalog several years ago and had trouble figuring out how a catalog would be created. We looked for video tutorials and found none. In a reply to someone here in January, you said you were sorry but that there are no video tutorials on YouTube. Since WinCatalog has been around since the George W. Bush administration, it begs the question — why **aren’t** there video tutorials available? So many people seem to like WinCatalog, we’d like to see maybe a sample catalog created on video so we, too, can see your software successfully in action.

When cataloging a folder with pictures, WinCatalog grabs EXIF tags from these photos (a few lines of text) and thumbnail previews for each photo (usually from 10 to 30 KB). So, WinCatalog requires much less space for the catalog data than the original files. 1.4Gb of photographs may contain from 300 to 1000 photos, so the size of the catalog file should be about 30-50 megabytes.

If you delete a file or a folder withing WinCatalog, only the catalog record will be removed, the original files will be left untouched. In WinCatalog 2019 we added the ability to delete real files and folders on the disks, but you should do that explicitly and in order to protect your files from being deleted accidentally, the process is divided into two steps: on the first step, you just mark the files you want to delete and add them into the File Operation Queue. After that, you can review the files and decide if you really want to remove them or not. Then, when you are ready, you start the File Operation Queue processing to delete the real files. Mitchell User Is the 90-day refund policy in effect for the BDJ offer? I created a catalog, successfully added two external USB drive and I tried to add an internal data drive. The program spent three hours----no problem----indexing the drive but when I maximized the window I saw no evidence that the drive had been added to the catalog. When I tried to readd the drive the program said it was locked. I closed the program, reopened it, and tried to add that drive to the existing catalog, again it said that it was locked but there was no window indicating that the program was continuing to index that harddrive. I need all three drives index to create virtual folders. I an willing to buy a license but if I cannot index all three drives it is a waste of my time

Michael Rusakow @Mitchell User, first of all, thank you for finding the issue in WinCatalog (should not allow closing by clicking the red [X] button in the Main window when the scanning process is active, we will fix this shortly).

In your case (and in most cases) it is safe to click the Continue Anyway button when you see the "Catalog File is Locked" warning. This warning was added to prevent running several scanning processes simultaneously, especially when the catalog file is shared between several users among a local network. This functionality is implemented via a simple text file created next to the catalog file. WinCatalog creates the text file when starting the scanning process and deletes it when finishing. Sometimes for some reason, the file may continue to exist (for example, when the scanning process was ended unexpectedly) and next time WinCatalog displays the warning.

So, if you are the only person working with WinCatalog at the moment, and the only instance of WinCatalog is running, it is always safe to click the Continue Anyway button. The full explanation is here: https://www.wincatalog.co...essage.htm

Mitchell User I purchased the license for the program and the forever-update license as well and I could not be happier. I am still a fledgling and I still have been able to do sophisticated reorganizations of my files. For EPUB files, the metadata is already there, which is a huge benefit because when you do a search WinCatalog looks at the metadata describing the ebook for matches. It would be great if I could do google and amazon searches for pdf ebooks to add metadata to those files. I am retired so I have lots of time for this reorganization especially during the quarantine. It would be nice if the tags were hierarchical but certainly not a deal-breaker especially because of virtual folders which I have not used. Six stars out of five.

Mitchell User I believe that a field in an e-book metadata table is called "Description". I have a license for Alfa eBooks Manager Pro. After you enter the title of the ebook, you then press ctrl W and the program searches Google and Amazon for all metadata fields including description. You then are presented with a list of possible hits. If you select one hit, all the metadata fields are filled in. I strongly suggest that you trial this program and check out for yourself how it queries Google and Amazon for all metadata fields including title, author, publisher, and description. Right now I use this program for this query and the copy and paste the description field into the comment property in WinCatalog

Thomas Barber So...a couple questions.

I have a large number of Raster / Vector files in a wide variety of formats. I know WinCatalog pulls thumbnails for certain formats, but what I (and probably many more like me) are really looking for is a much larger number of formats supported. As an example: I have SVG, CDR, AI, EPS, PSD... the list goes on an on. Are you planning on expanding the list of "thumbnailable" image file formats in the future? Also, have you ever considered a plug-in system that would allow third-party software to be executed to create the thumbnail so you don't have to re-invent the wheel? There are already several programs that could be leveraged to create thumbnails all sorts of image types.

Michael Rusakow @Thomas Barber, to the moment, WinCatalog can extract thumbnails from various formats, from popular JPEG and PNG to PSD, SVG, EPS. Unfortunately, the current version does not support CorelDRAW (CDR) and Illustrator (AI) and some other formats you did not mention. Michael Rusakow @Fadi, if the thumbnail image is smaller than the thumbnail preview panel, the image will be displayed in it's original size (i.e. it will be smaller than the preview panel). If the image is larger than the panel size, it will automatically fit the size of the panel.

When we designed this feature, we decided to no enlarge smaller thumbnails to fit the preview panel. I think we can add a note for future development to implement an optional ability to fit smaller images to the thumbnail panel or add zoom to this panel.

Mitchell User User-defined fields. The types of user-defined fields are limited to one: a short text field, I think. I have been cataloging my ebooks and sometimes Google and Amazon can fetch the table of contents. I created a user-defined field called the table of contents but I could not paste therein the complete table of contents. To be sure I could have pasted the table of contents into WinCatalog's comment field, but I wanted a separate field for the table of contents. Perhaps I am doing something wrong. The program still is an absolute steal and an A++++

You're right, currently, you can assign only the text info (but the text length is unlimited). When we designed the new feature, we started from plain text and decided that if someone needs, say, boolean values, he or she may use Y/N letters or short "yes"/"no" words. The text length for each field is not limited, but the user interface, however, does not allow entering multi-line text. I will make a note to fix this in one of the subsequent updates. Thank you again!

Michael Rusakow @Russ User, WinCatalog automatically displays image details it grabbed from the Exif tags in the Properties panel.

Please check the following screenshot (57 KB):

If the picture is shown using the dancing girls icon in WinCatalog, this means that WinCatalog was able to grab thumbnail image or Exif tags or both for this picture. In that case it will display the information it has automatically in the Properties panel.

Alternatively, you can access this information via the Properties of the file record. Please make a right mouse click on the file record and click Properties and follow to the Multimedia tab. The Multimedia tab appears only when WinCatalog has multimedia information for the entry. The Thumbnail tab is always visible because you can assign thumbnails to any entries in WinCatalog.

just the list of files inside archives, but it does not dive deeper and does not unpack archives to process the compressed files (for example, to grab thumbnails). In our wishes list we already have a suggestion for such a feature, but, unfortunately, do not plan to implement it in the near future. Anyway, I have added +1 to this feature for you.

Something similar to the mentioned Beyond Compare is planned for another suggestion - to compare two folders in the catalog or a catalog folder and a real folder on a drive. great software, in my opinion, the best cataloging software available.
Regarding comparison: would be really fine if one could compare folders and files like in beyond compare. I would vote for beyond compare UI (better than winmerge).
A kind of duplicate files and folders finding ability (like keymetrics duplicates finder) would be an additional suggestion.

Adam P Wish list - moving thumbnails outside of database. When you have a large collection of music, videos, and photos catalogued, the database files can get really big (in the gigs).

Michael Rusakow Hello Adam, previously WinCatalog kept all the data for the catalog in one catalog file. Since the 2019 version, WinCatalog can keep some catalog-related settings, such as search history, outside the catalog file. It was added by requests of users who keep catalog files in cloud folders. Adding this feature made catalog files more friendly in terms of cloud syncing. Now if you just perform a search, only a small external file will be modified to remember search history and synced.

For version 2020, we decided to store the search index in external files. So, I think, your suggestion of storing thumbnails outside the catalog file may also be implemented in the relatively near future.

RC WinCatalog fan here, purchased this on a different promotion. If you have anything at all to catalog, this software can handle it. And it's licensed per user, so you can install the program on all your machines. It works great for image files but it has uses beyond the obvious - for example, to index those old hard drives on your shelf filled up with this-that and what-not; WinCatalog creates a thumbnail index that is quicker to browse than trying to search through the hard drive with a file explorer.

Manuel User Hello Michael, some time ago you told me that "The default and the only drag&drop behavior is moving. Unfortunately, using the current version, you can't create a copy or a kind of a hard link to the file in the virtual folder. But we are going to implement that in one of the next updates." Before replying to you in order not to break promises in the future, I would like to ask a question about the functionality you're asking to add.
 
Here's how I see it should work. Currently, to update a drive or a folder in WinCatalog, you should explicitly select the drive and hit the Update button. This also works for multiple drives - WinCatalog updates the selected entries one by one. 

The current version allows you to do the same via the command line, the only disadvantage is that you have to explicitly specify the list of drives or folders to update. But if you have just a few drives, and the list doesn't change, you can set up Task Scheduler to update the drives on a schedule. If you need any assistance on setting up the command-line and Task Scheduler, please submit a support ticket via the form (https://www.wincatalog.com/feedback.html) or reply to the email I sent to you and I will guide you through the process.

The new requested functionality in most cases will do the same, but without a need to select multiple entries. It will be implemented as two more menu entries - Update All Drives and Update the Connected Drives.

WinCatalog will detect the connected drives and will update them first, then it will ask to connect other drives. The same two options will be added to the command-line interface. 

The only thing that cannot be done in the current version is the ability to create a Task Scheduler task right from WinCatalog.

Could you please tell me if the described above corresponds with your expectations from the "ability to set drives / locations to auto-update/catalog" feature?

I create a new catalog, having named it, open it and.......nothing
Just the standard Catalog main header to the left of the main window.
I'm pretty experienced with PC's and this has had me totally beaten after playing around with it for 2 hours.
Yes I've read the help, yes to other basic likely actions.
For me this just doesn't work, so whilst very tempted, I'm afraid I'm out and back to very basic but Free Docfetcher.
All I wanted was a fast preview of PDF's and better Document Management.
Disapointed tbh.

Answering your question: unfortunately, in the current version of WinCatalog, you can't tell the program not to pop up when the scanning is finished, however, we already have this suggestion in the wishes list, it will be implemented in the 2022 version. A silent mode via command-line (when WinCatalog doesn't show any UI at all is also planning).

As for updating disks by a schedule, this feature will also be added in the 2022 update cycle. Using the current version, you can do that using the command-line interface and set up a task in Task Scheduler (or Windows Scheduler if you use an older version of Windows). Heraldo I tried demo and i liked it, but 1 thing: If you want that folders or folder icons will be displayed as thumbnails from music album covers, DVD or whatever, how you can automate this, cause of now i saw only the posibility to add a thumbnail to the folder manually? For example, why not to add an option to auto scan 1st pic in a folder and put it as thumbnail?

The extended support of PDF files, including Full-Text Search (for documents having the text layer), is planned for the 2022 update cycle.

It will be possible to set "folder.jpg", "cover.jpg", or use other patterns, including the thumbnail of the first picture in the folder (this option will be configurable). I have added +1 to this suggestion for you, the feature is planned for the 2022.1 version (the first version in the 2022 update cycle).

Adam P Once again, asking for thumbnails to be stored separately from the database. My main file is now at 11.6 gb, and makes it a pain for baking up. I can't even do an incremental backup, since it's the 1 big file, so I usually don't back it up.

Bob User Hi Michael, Thanks for the speedy reply. The barcode application is not for books and/or CD's. I have an inventory/collection that I am adding my own barcodes to for my own references and not for any outside use. I create my own barcodes strictly for this purpose.

Still, it's not a deal breaker, but I thought I would ask since this would be a nice convenience for me.

Use Comments (in that case, barcodes will be searchable just by entering them in the Search field), or create a user-defined field for storing barcodes (in that case you will have to use additional search options to search for your items using barcodes).

Tore I'm testing the trial version on a 512GB SSD as I'm writing this.

Unfortunately, it's processing the .SVG files that come with Inkscape very slowly. 3-4 seconds per file, and they are a mere 1-5KB in size each.

Questions:
1) Is there a way to configure the way it processes each file type (e.g. "light" processing only of SVG), or do I need to tell it to ignore SVG altogether?
2) Is there a way to pause the scanning of a disk and have it resume at a later time?
(Due to the SVG files, it's now set to use 30+ hours to finish scanning the disk, although I assume things will speed up when it finishes the SVG files)

Edit:
I tried to fool it by moving the entire folder structure containing Inkscape's svg files to another disk. My hope was that it would skip ahead when it discovered the files were missing.
But no, it's still slowly chewing on non-existing files :-(

Michael Rusakow Hello Tore, thank you for trying WinCatalog! I'm sorry to hear that the process of grabbing thumbnails for SVG files on your computer works slowly. We will investigate the issue (I've sent an email to you asking for more details).

In the meantime, you can configure WinCatalog to grab just basic information (basic file attributes) for SVG files and not to produce thumbnails for these types of files. Please run WinCatalog and click the Scanning Options button on the Toolbar. Select the scanning profile to modify (most probably, Full File Info, or My Settings), follow to the File Processing tab, and find the "Pictures and digital photographs" section. Remove the .SVG file extension from the Extensions list. Make changes to other scanning profiles if needed. Click Save to apply changes and close the Scanning Options window.

Add a drive containing .SVG files. WinCatalog will not generate thumbnails for this type of files anymore.

Jim Hilton Does this version still take focus when scan is complete of a disk?
Also I am using Wincatalog 2019 V19.4 and I can no longer scan my C drive. It is an SSD drive and wincat is so aggressive that it renders the computer useless while it is scanning.
Has scheduling been implemented yet?
This delete feature, is there some GLOBAL command that can be commanded that Wincatalog thou shall be read only and make adjustments to anything it touches?
I'm hesitant to install this version as I fear not being able to rollback.

Tazzie Thanks, Michael! I have purchased and will be looking forward to the dark mode. I have vision difficulties with bright light at night and when it is dark, and dark modes help greatly, especially when screen filters aren't helpful. I have a huge file organizing and cataloging task ahead of me, so WinCatalog will get a good workout!

Michael Rusakow Hello Jim Hilton, thank you for your questions! The main window pops up at the end of the scanning process, this will be changed in the next major update when the scanning/updating processes will be built-in into the main window.

In general, WinCatalog doesn't modify files when touching them (when scanning or updating drives). If you mean the ability to delete real files right from WinCatalog, this option is relatively safe because it keeps the final operation 4 clicks away making it hard (but not impossible, surely) to delete files accidentally. Anyway, in the next major update, this option will be hidden until switching to an Expert mode.

All your web pages, including the upgrade page where one puts in a serial number, indicate that I can upgrade to WinCatalog 2020 Professional.

Yet there is no download link for that version.

I'm sorry that it is hard to find links to previous versions on the download page, to find them please scroll the page down until the "Older Versions of WinCatalog" section. The current version of WinCatalog can grab text from PDF files (by default it grabs the first 2000 characters, but it can also grab the entire text) and allows users to search for words or perform complex queries like "(word1 AND word2) OR (word3 AND word4) NOT word5".

Unfortunately, the current version still can't grab text from doc and docx files, so these two file types can only be searched by filename, basic file attributes, and fields manually added by users.
